How to Draft a Relieving Letter When Your Company Merges with Another?

Hi,

I need a sample relieving letter format for the query below:

1. If company (ABC) is merged with another (DEF) and started with a new company name (DEF) - In this case, the offer letter is dated differently from the old company (ABC) name, and now the relieving letter has to be issued with the new company (DEF) name.

In the above scenario, how should the employee's work for two companies be mentioned in one relieving letter?

Hi,

You can issue the relieving letter from DEF, and in that, you can mention the Date of Joining (DOJ) as per the offer letter/appointment letter only. I hope you have already issued some letters after the change of name from ABC to DEF, and that will serve as proof for the employee.

There is no need to create a special letter or refer to the merger. The employee is being relieved from the new company, so they will receive a relieving letter. The date of joining will remain the original date.

When ABC company is not in existence and has already merged with DEF, you can obtain the certificate from the existing company.

Relieving Letter Format After Company Merger

Usually, it is practiced that while giving a relieving letter for an ASB company's employee, DEF will say, "Mr. ... is relieved from the services of DEF (merged entity after the merger of ABC & DEF) on ......," or something worded to that effect. In other words, the relieving letter shall state that a new entity has emerged after the merger of two (or more) other companies. The same applies to 'company name changed' cases also, where they invariably state, formerly known as "........".
