New HR Manager in Electrical Engineering Firm: How Do I Set Up the Right Structure?

Dear Professionals, My name is Nike Akinsanya from Nigeria. I have just joined an electrical engineering firm as the HR & Admin Manager. This is a terrain I have never been in, and I am faced with the task of setting up every process that needs to be established. I have completed the staff audit and presented an organizational chart for approval. However, I still need to ensure the structure to be put in place, considering every position that should exist in a standard electrical engineering firm.

Request for Organizational Chart and Job Profiles

Kindly help me with an org chart or a list of possible positions that should exist in such an organization, especially the technical positions. I will also need job profiles and possibly process documents for the technical departments.

We are Gujarat State, India-based Electrical Contractors. I also faced this problem when I newly joined. I was not even aware of the basics of HR as I am an ex-bank employee. I was about 50 years old when I joined this company, which is basically a proprietary concern with a place of business in Gujarat State, India.

The attached formats, frankly speaking, were not prepared by me, but they helped a lot while drafting job descriptions for particular designations. I have used these basic job descriptions for appointing various personnel in the organization, of course, by making necessary and adoptable, suitable, and acceptable changes to them. You may utilize these formats as per your requirements, depending on the size, environment, strategy, and financial position of your organization.

QUALIFICATION REQUIRED:

• Degree/Diploma in Engineering, preferably mechanical or civil engineering

RESPONSIBILITIES:

• Calculate Cost of Work Done (COWD) as well as any agreed variations, along with estimated cost to complete.

• Quantify changes (variations) and submit Change Request Forms.

• Assist with the procurement and contract administration of suppliers and subcontracts.

• Assist contracts engineers for:
- Verification of invoices for actual quantities related to various maintenance contracts
- Verification of invoices based on the contract’s terms and conditions

• Verification of actual quantities at the site for the following tasks:
