Is It Okay to Email HR About Setting a Date for My Full and Final Settlement?

I have been working with this company for more than 3 years and recently I have submitted my resignation. The notice period is 2 months. Now, I would like to inquire whether it would be acceptable to send an email to HR requesting a date for the Full and Final (F&F) settlement.

Has your resignation been accepted? There is no harm in finding out by when the company will complete FNF. I am sure your company may already have a set process for clearing employees who quit or resign, etc. You can smoothen the process by ensuring all company assets are handed over and acknowledgment is taken in writing. Clear outstanding matters such as audits, queries, etc. Surrender your entry pass, vehicle pass/sticker, mobiles, laptop, and so on. Make a small but informative brief about any pending jobs, etc.

I submitted my resignation about 3 weeks ago on the portal, but the company has not yet accepted it. After speaking with the Manager, I was informed that they will accept the resignation on the last day. I plan to return all company belongings on that day. Would it be appropriate to send an email to HR now to request a date for the Full and Final settlement?

Such queries are better asked verbally and face-to-face. Putting things over emails is usually resorted to when the concerned person is busy, and you have been waiting to meet him/her many times, or when you wish to put things in writing to create a written record expecting later problems.

You mentioned, "I had a word with the Manager, and I have been informed that they will accept the resignation on the last day." Have you asked 'when' is the last day? Many companies have the 'last day' and F&F day separately. The F&F settlement day follows a few weeks after getting relieved, especially in large companies like yours.

Since you get to meet/interact with your Manager daily or regularly, it could be better to ask him about the 'normal' process for the F&F. You would then have some indicative timelines.

Thank you, Sateesh! This company has a portal where I can log in and submit my resignation. The portal then calculates a 2-month notice period and displays my last working day. I am confident that I will complete the full and final settlement on my last day. However, the company must also complete the full and final settlement within 45 days. The pay cycle of this company is on the 20th of every month, with salaries credited on the 1st of the following month.

For example, if I submit my resignation on July 01, 2015, my last working day would be August 30, 2015. The salary for July will be credited on August 01, 2015. Since the full and final settlement takes 45 days, the salary for August will not be credited on September 01, 2015. I am unsure if the full and final settlement will be completed on September 14, considering the 31 days in August, or if the company starts calculating the 45 days from the last working day.

I would appreciate it if you could provide clarity on this matter.

When you have such streamlined processes, why are you so concerned about when the F&F will happen? It's bound to happen, maybe a few days either way. Any specific reason(s) for your concern(s)?

Hi,

Acceptance of resignation from an authorized person is a must for any resignation. If there is a policy of serving notice and no other option such as waiver of notice or salary adjustment in lieu of notice, then wait for HR's reply on it. Otherwise, it can lead to problems regarding your paperwork from the company.

The notice period is fine, but the company is way too slow in completing the F&F settlement. So, employees have a 2-month notice period, then another 2 months from the last day to complete the F&F settlement, and then another week to get the experience letter. Is this normal?
