How Can We Organize an All-India HR Meet to Include Everyone Interested?

Hi Guys,

Everyone knows that there are CHR meets happening locally, organized by a small group of HR fraternities. Though some of us have gained good experience in organizing such events locally, it is sad to know that it is helping only a few people who are based where the event is organized.

Many HR fraternities from other locations are also showing interest in participating in such events, but unfortunately, they are not able to join because such events are not happening in their location. To help people from other locations and to have a grand gala event for Cite HR members in one place to meet and share thoughts and experiences, why don't we organize an ALL INDIA CITE HR MEET if everyone from all over India supports and shows interest?

Sorry I misspelled your name in my earlier post. Thanks for your update. However, for me, the participants come as the second priority. Because even though people say they will be attending the meeting, when the event happens, everyone will have their own reasons for not attending it. First, let us plan for organizing the event such as the date, venue or location, key speakers, budget, etc. Then we can approach the participants more easily.

Can you take the lead to coordinate in Pune and other Maharashtra regions? As my suggestion is to have the event tentatively during the second week of January 2008, we welcome all of your suggestions in this regard so that we can discuss and finalize the date and location of the event.

Nice idea. Count me in for the meeting in 2008 if it is going to take place after March. I think all those who are forming small groups through local meetings will be more useful to us as we will be able to distribute the work region-wise.

All those who have attended such meetings will be familiar with each other, and they will enhance participation. Please ask for feedback from their meetings so that we can understand how to approach people in different localities.

My suggestion is that we need to volunteer to represent each region. For that, we need to know among our site HR network, let's find out where all the members are from. I mean to say, let everybody post their current location. Based on that, I shall take the responsibility to create a database which contains the following details:

- Name
- Age
- Sex
- Location
- Email ID
- Contact number
- Membership status

We shall fix a deadline to receive the registration forms. I will create a separate topic to collect the registration forms and update them periodically.

Dear all,

Great idea. Count me in. Just some ideas. For these kinds of meets, there are lots of things to be considered.

A) There has to be registration, where they have to pay something; otherwise, such meets don't work.

B) The location is very crucial.

C) There has to be a program associated with the meet (e.g., for instance, an event like ISABS). It has to be a program-based event.

D) It has to be thoroughly thought about.

E) If there is no takeaway from this meet, it may not work.

These are just my thoughts. These are "food for thought," which we can ponder. Let's mull over it and invite ideas for the same. Let me know how I can contribute.

Thank you for your interest. In fact, we organized a meet in Bangalore during August, and it was a great success. You can view the details and photos in the CHR Meet Bangalore Photos topic. Cite HR members from Bangalore, Hosur, and Vellore participated in the event. Even people from Hyderabad also showed interest in joining the Bangalore meet at that time. They are still in touch with me for the next event. Following its success, I proposed this all-India meet as many of them had requested it.

No problem for the lower number of people from Mysore. You can join us and inform your HR connections about this event.

Don't get disheartened. It is not an easy job. Even I faced the same problem when I organized an event in Bangalore. Finally, I got in touch with four to five members as volunteers, discussed, made decisions, and then informed the members about the event. This approach resulted in a very good response from people for participation.

You can also try the same. You and one or two others who are interested can join together, make decisions, and inform the members about the event. You will receive a positive response.

Someone, please prepare the agenda of the meeting. Form a committee with representatives from all regions. Decide on the location first based on the inputs received from participants. Decide the duration of the meeting - 1 day, 2 days, 1 week, etc. Calculate the minimum, maximum, and appropriate number of participants. Estimate the cost of conducting the meeting at various locations and decide appropriately on the location. Calculate the accommodation arrangements for candidates outside the city. We have cities from Kashmir to Kanyakumari; decide on a city that is well-connected and reasonably accessible from all aspects. I hope this plan keeps you working with a strategy, and you can assess the proper status of the meeting.

It is okay. Later, people will join us once we finalize the event. As you suggested, it is better to finalize the date and location first.

My suggestion for the date is January 19 or 26, Saturday. The location should be a central location, i.e., somewhere in the Central Part of India, so that it will be easy for everyone to travel.

I would say the 19th is better because the 26th is Republic Day. So, it's better to be on the safer side. We have to look into a Sunday and also need to draft the duration of the meet. If we prefer some hill station, that will be much cooler and provide a nice environment. It also serves as relaxation for those who are traveling after their long, busy working hours. Their minds will be free. If possible, they can bring their family as well. Anyways, it's my suggestion.

Before that, let us have a deadline for registration. Based on that, we can study the majority people's locations. A few places I suggest will be Coorg, Munnar, or any cool hill station from northern Karnataka or Madhya Pradesh. Any more place suggestions, please welcome. Let's make this event infotainment.

It is nice to see your suggestions. Coorg is a nice place where we can have this meeting. But January is a holiday season, so we need to book the hotels at the earliest. People may enjoy the new type of accommodation, that is "Home Stay," where people can share the accommodation with the Coorgi community people and experience their culture with privacy.

Munnar is in the extreme south, making it difficult for people from the northern part of India. I feel the location should be more central, maybe in the central part of India. In my opinion, an ideal location would be Goa and its surroundings.

Let us wait for suggestions from other parts of India like North, East, and West.

Regarding the date, the reason I suggested after the 19th or 26th is that from the 14th onwards, the holidays begin, and many people may plan their vacations, making them unavailable on the 19th. However, for the 26th, even though it is a holiday, having just one day off and returning to work on Monday could be ideal as it allows for a day of rest on Sunday.

This is my opinion. I am open to others' views and suggestions. Let us decide on the date and location after considering everyone's input.

As Raj Bhatia mentioned in one of his posts here, the event should contain some knowledge sharing. It should not be just a get-together. I am planning this as a workshop or seminar-based event for HR people, which comes with a cost. One of the suggested topics by me is "Traditional Vs Modern Recruitment Methods."

All of you, please contribute to selecting a topic that is the need of the hour. In my opinion, attrition and retention have been discussed and handled in many seminars and workshops. So, I suggest leaving this topic and recommend any other burning topics.

As far as the topics for the discussion, my suggestion is "HR On Board". If you see, in general, the CEOs of the companies are from Financial or Operational Background. However, so far very few have reached that level from the HR field. Even in the Board of Directors in a company, the participation of HR people is very less.

Anyhow, let us wait and see others' suggestions. Do you have any thoughts about the Key Speakers?

Comparing to all city meet, which is being organized locally in Bangalore, Chennai, and Delhi, people are really enthusiastic and keep organizing the event quite often. Especially the Chennai guys, they keep organizing the events almost every month, though the numbers of participants are less. Bangalore people organize the event once in a quarter or half-yearly, but they are making it big as the event sees at least 30-40 people. As far as Delhi is concerned, the posts about the meet used to run in pages, and finally, the participants will range from 16-20 people. In other cities, as I observed, the thread will be on, but no events take place. There are exceptions like Pune. The above-mentioned points are based on my observation in Cite HR; however, it may not be actual facts.

I thought of giving up organizing this All India Meet as there is poor or no response from HR people. It is surprising to see such a poor response from our own HR people for HR meets. What happened to all? Come on, cheer up. All India HR meet should happen.

Calling off the event is not a great option :( What we see are only initial teething troubles! I am a part of the planning for the Pune HR meet. We too initially saw very few responses from the fraternity, though the responses started increasing gradually.

What could be done is to contact the members who actively organize the events locally. Such members usually have the contact details of a good number of members from their respective areas. You could have these people encourage more candidates to participate (the local organizers can send out a message to their local HR folks about the India meet!) and the responses could be better.

Dear Kamal,

It is nice to receive such boosting mail from you. Generally if you see, any event is required a proper planning, then only it will be a successful one. If the participants are not responding properly, then we can't plan it properly, finally end up in a small event like an informal gathering.

If you see any other professionals like Doctors, Engineers etc, if any events are happening related to their field, they show massive response. It will happen automatically. No needs for any follow up etc. But if you take HR in the same situation, it is totally on reverse side up. Much Talks, Less Action.

Probably this may be one of the factors contributing for not considering the HR as an important factor of an organizational growth. May be this may be one of the reason for a HR person not able to reach the top position or reaching a level in the Board of an organization.

Actually this kind of poor response will make us upset. What we get a feeling is instead of organizing such kind of bad event, it is better not to organize it. That's what I mentioned that, if the same kind of poor responses continues, then I will give up. But, I welcome others who take initiative in organizing such events.

As I said in my earlier post, there are people from few cities (Like Bangalore, Chennai, & Delhi) who are really planning and organizing the event very successfully.

The doctors, engineers, etc., all have meetings because they know they will be sharing upcoming knowledge in their fields. So, if we have a similar plan for HR professionals, I see no reason why they will not be interested.

There are many members who are really interested but hardly find time to respond to our requests. Another thing, since people are not sure about the location, they might hesitate to come. I feel that if a zonal-wise informal meeting is conducted and during that meeting, we discuss this big event, we have pretty good chances of making it a success. Normally, I never think in a negative way. I always hope for the best. However, this time, on this event, as I mentioned in my earlier post, the responses are flowing similarly to the Delhi case, but no one is sending their details to Hari, which has made me a little upset. Anyway, it is not a significant issue. Hari, as you suggested, let's plan for the day and venue as it is essential for people to make decisions.

I kindly request Raaj Bhatia and others to take the initiative in their respective regions to coordinate the event with input from other interested HR participants. This can include suggesting the location, date, topics for discussion, and recommended Key Speakers, either those you endorse or ones easily accessible for this event.

As far as the location is concerned, Goa or Hyderabad is the ideal location for this event. These two locations are conveniently connected with all modes of transport. In my opinion, Hyderabad is the perfect location as the cost of travel, accommodation, etc., will be cheaper compared to Goa.

You could have conducted an ALL INDIA MEET as well, but as I mentioned before, there was no proper planning, so there was no enthusiasm from employees. You should have released the agenda of the MEET beforehand.

I don't intend to hurt anybody with this, but I just want to mention that everything should be properly planned and executed. The CITE HR ALL INDIA MEET is not an issue.

Hey Sumi,

It's great to know that there is an all-India HR meet to be held soon. I am from Calcutta. Is there any way that I can attend this meet? There are no plans for a Calcutta one, I guess. I am quite interested. Do reply.

I am from Delhi, and yes, things are happening at the Delhi level. I personally think that such meetings at a bigger level should evolve slowly after we make a success of meetings at different places, focus on the requirements, organize, and come out strong, rather than do it for making a statement and then not being able to sustain it.

More views are welcome.

Hi Guys,

It is really sad to know that this thread has been dropped long back, and people are responding to it now. As I know, people are just posting their messages here saying that they will attend and are ready to volunteer, etc. When called for a meeting of volunteers, everyone will have a reason to avoid it. This proves that Mr. K. Ravi and Mr. Sanjeev Himachali's statements are correct.

Anyhow, if you are really interested and the support comes in, I can discuss with Mr. Umesh, who initiated this thread earlier and subsequently dropped it due to poor response.

We are all eagerly waiting for such a great gathering. I think HR professionals should also be centrally organized. Such events will be the primary step.

Sorry, I too dropped in today. I was not aware of it. As I have recently joined as HR, I didn't know about this. It's not even one month since I joined. I am not giving excuses, but I really do want to participate. However, the thing is I am from Kolkata. :(

I am not blaming you. It is a general tendency of our HR fraternities. But there are people who are really interested like you, and they have come from another station and participated in our Bangalore meet.

I spoke to Mr. Umesh, who initiated this thread. He was also interested. At that point in time, the response was very poor; hence, he canceled it. After that, we held the program for the people in Bangalore in December.

If everyone supports with real interest, yes, we can do it.

It's a great idea to execute on an all-India basis. The preferred location would be Mumbai as it is centrally located and well connected. If you don't mind, may I have your contact details, please? Hi All,

It was initiated by me a few months back. During that time, the response was poor, hence I dropped the plan of having an All India Meet. Now, people have started taking interest in this All India Meet.

I am extremely sorry, but due to other commitments and a tight work schedule, I can't take the lead for this meet. If anyone is ready to take the lead and organize it, you are most welcome. Whatever possible support and guidance from my side is always available.

I am working as Manager HR in Ahmedabad, Gujarat, and we are organizing a meeting for all HR members in Gujarat. We extend an open invitation to all the members who read this message here or pass it on to others in HR.

You can view photos from our first meeting in the Gujarat section. Following the success of our initial meeting, we are hosting our Gujarat HR Meet-II on 28th September 2008 in Ahmedabad.
