New Employee Onboarding: What Documents Are Needed for a Smooth Start?

Please help me suggest the documents that need to be submitted by a new employee when they join the organization.

1. Which papers need to be kept in their personal file?
2. What documents are required for PF and ESIC?
3. Which documents are required for opening a new corporate salary account?

Hi Vrusha,

For a new joiner, the following things are required:

1. His/her CV with one photograph and joining form duly filled.
2. The resignation letter from the last company; salary slips for the last three months; experience certificate from the previous company; relieving certificate copy.
3. Experience certificates from all the companies served.
4. Reference check details.
5. Attested copies of 10th, 12th, graduation, and post-graduation certificates if obtained.
6. ID proof - either a copy of the passport, election card, or driver's license.
7. PAN number.

For ESI, I believe you require:
1. Two postcard-sized photographs and the form duly filled.

For opening a new account, you require:
1. Two photographs and ID proof.

Hi Vrusha, Nidhi is very much correct. I would like to add one more point: along with ID proof, residential proof is also required. Moreover, for opening a bank account, only a single passport size photograph is needed.

One more thing is required, i.e., Form-16 of the previous organization for TDS deduction.
