Year-End Activities Checklist

Can you please list out the activities that need to be ensured during year-end and taken care of for the next year?

For example:

1. Preparing a list of holidays for the new year 2015.
2. Leave adjustments, carry-forwards, encashments, etc.
3. Bonus payments, etc.

I look forward to your quick response and guidance.

Kindly go through the below two matters which will be important for HR activities for the year 2015:

1. Finalizing the Holiday List for 2015

The government has declared/published the Holiday List for 2015. The following suggestions from HR Consultants will be useful for Continuous Processing Plants/Establishments for uninterrupted production/works:

- Provide two Optional/Restricted Holidays along with the proposed National & Festival Holidays so that there is minimum manpower to manage essential services like Production, Mechanical, Utility, etc. This is because most employees will not observe all festivals. Hence, when one set of employees from one community avails holidays, the other set of employees will work and vice-versa. Thus, minimum manpower can be ensured by rotating/adjusting personnel to suit shift needs without payment of overtime or dislocating work due to holidays.

Continuous Process Units (CPU) are adopting Fixed + Optional Holidays to ensure the availability of minimum essential staff on all days. As the Holiday List is to be finalized now to be effective from January 2015, the above may be useful to you/your company. The Leave Cards are to be made including Optional Holidays/Restricted Holidays so that the HR Department can post properly.

2. Personal Information Changes Notification (P.I.C.N.) Form

Most HR Departments would have personal files for all employees with Company Application/Bio-Data Form with all certificate copies for Date of Birth, Qualification, Experience, Salary, etc. However, it is found that many employees' details are not up to date, and many essential pieces of information will be missing when the HR Department urgently requires them. For example:

1. Present postal address to send a memo/notice.
2. Nominee details (when an employee dies, or some accident information needs to be communicated).
3. To know marital/dependents details.
4. To verify the latest qualification (when an employee is to be considered for promotion or Salary Increment to be given after Performance Appraisal).

As the above information of many employees would have changed after their submitting the last Bio-Data while joining, these details are to be collected using the P.I.C.N. Form in December so that every employee's details are up to date by January.

I hope the above may be useful to you and your company. I have important policies as above on all HR subjects (in my PC), and I can provide them. Details will be sent on hearing from you.

Thanking you,

Regards,

Apart from what has been mentioned elsewhere, take care of these as well:

1. Crediting leave accounts
2. Annual increments
3. Transfers/Reallocation
4. Renewal of licenses, insurance policies, contracts, safety gadgets/accessories, AMCs
5. Issuing uniforms, ID cards if necessary
6. Registers and documents (maintained on a calendar year basis)
7. Distributing new year compliments, sending greetings to customers and others (either in person or in absentia)
8. Reviewing manpower planning, utilization, quick review of past performance parameters compared to the upcoming months of the current year to address any shortfalls
9. Checking for any court cases scheduled after the recess
10. Above all, plan how you will celebrate the eve/new year in an impressive manner.

All the best
