Struggling with Candidate Follow-ups? Seeking Tools or Methods to Ensure They Join!

Hi all, I am pretty new to Cite HR but have heard quite a lot about it. I am pressed with something critical, and I trust you folks can help me with this. I belong to a placement firm in Bangalore where we hire for many companies, including small companies. However, many times candidates seem to be joining the firm without our knowledge. Clients also do not inform us, claiming that a particular candidate did not join or was rejected. After some months, we discover that they have actually joined.

Need for Candidate Follow-up Tool

Therefore, I am in search of a tool/software that can automate candidate follow-up until they join the client's end, or any methods that can be adopted to ensure proper follow-up.

From what you've mentioned above, I believe your esteemed placement firm earns a commission on every candidate that makes it through the whole process of screening and takes up the job. Your concern here seems to be that a few of the candidates that you have assisted for the profile still join the firm but keep your efforts aloof, thus negating the commission that was rightfully yours.

Now, this is a serious but very common issue that troubles every placement firm working on this trajectory. How to solve it then?

Probable Solutions

1. You cannot keep the client in the loop. So, tweak the agreement form. After you have done the initial screening of a candidate, make the potential ones sign an agreement that clearly states they are obligated to pay you a pre-decided amount once they receive their joining letters. Unless they provide their respective approvals for this agreement, their candidature should not be processed.

2. The very same approach applies to your client. If you can, though there is a very slim chance, make the client agree to the term that your placement firm will be the sole entity to source candidates for them; half of your trouble is lessened.

3. Also, while sourcing candidates for the client, please add a clause that if a candidate fails to pay your justified commission, the client will be liable to pay it upfront.

I am not aware of any software or portals that would come to the rescue in this matter.
