Seeking Creative Ideas for an Engaging and Cost-Effective HR Newsletter and Activities

Dear All,

I am working with a software company where change is a must. I am thinking of introducing some innovative programs in the company. I have visited many posts on CiteHR for help, and I have concluded that I will start with two to three new activities like Coffee with HR, HR Newsletter, Talent contest, and Blood donation camp. I need your help in terms of suggestions. For "Coffee with HR," I have a quiz ready, but I am stuck on the HR Newsletter. Can you suggest how to carry out this activity and some more ways to make the workplace exciting in cost-effective ways?

Coffee with HR is nothing but the survey we can conduct for satisfaction or to get suggestions from employees in a different manner. We can have a questionnaire ready and ask the questions to employees when we meet one-on-one. This way, we can interact with employees, and they will feel that their suggestions count in the company. I am yet to prepare a questionnaire for the same. Once it is done, I will share it. Any ideas about an HR NEWSLETTER?

You can also conduct team games. You can have the team games during the monthly B'day Bash. Additionally, if required, you can introduce breakfast, lunch, or coffee with your COO/CEO.

Dear Payal,

Presently, I am working on my own as a manpower consultant. When I worked with my earlier company, I used to prepare a newsletter that is similar to our magazine. In our HR newsletter, we include the following:
a) HR News, such as any new joiners for the particular month
b) Status of staff who have left
c) Training calendar
d) Vacations to be organized and feedback
e) Details of any new married couples
f) Confirmation list, etc.

I hope this gives you some ideas.

Dear Payal,

In your HR newsletter, you can include new joinings in the month, separations, employee birthdays, marriages, new HR policies, statutory announcements (like changes in ESI/PF/Bonus, etc.), promotions, HR awards announcements, and some kind of quiz in each edition for employees to solve and reply (attach some prizes for the winner).

You can have six editions in a year (every alternate month).

Hi all, as one member said about coffee with HR in my concern, we don't interact one-on-one. Instead, we invite a group of workers from various departments with a questionnaire. It's like a friendly discussion, not fully focused on work itself, but also rooted in their personal and behavioral identifications.

Coming to the HR newsletter, you can post monthly, which has to be circulated as a magazine. It may contain the best employee of the month, some new amendments related to welfare, information about the new joiners, training programs to be conducted, and feedback from previous training programs, etc.

Hi Payal,

An HR Newsletter is one of the best strategies for retention. It's really good that you are planning for the same. Here are a few tips that I can suggest:

If this is your 1st edition, then:

1. Build a team dedicated to work on this activity and name the team. Each one of you should be good in any one domain like - 1 good in editing, 1 in designing, 1 in interacting with employees, 1 in writing articles, 1 in creative ideas, etc.

2. Think of a good name for your newsletter - The team can work on it, or if required, you can ask the employees to come up with good suggestions and offer a prize for the best. But the name should be really catchy!

3. Start designing the format for the newsletter and come up with a layout design.

4. Here you need to decide what areas you are covering. For example: Birthday corner/Bash, Announcements, Quiz, Testimonials, Best Performer for the month, different articles from different departments, Great achievements (off-campus), etc. There are a lot of things you can include.

5. Every month, you can continue with the same layout but with different articles.

6. Decide on a particular date and arrange a get-together for the release. Invite department heads and management staff. You can also do it on the floor in front of all employees if it is a small group.

7. Ultimately, I would suggest it should be creative, interesting, and more employee-related.

As a part of the introduction, I'm Sai Latha. I joined this group a few months back but have not been getting time to open the site. I have a few suggestions for the HR Newsletter. If you find them worthy, you can use them:

1. You can have this on a monthly basis.
2. Include all the birthdays of that month.
3. Newborn babies/newly married couples with photos (if possible).
4. Share some HR initiatives that you have done for that month.
5. Provide information on upcoming HR events.
6. You can include jokes/poetry.
7. Share an interesting article that is more apt for your employees.

For the first month, you can start with these suggestions, and from next month, you can ask employees for contributions. I hope this helps you.

Hi there!

I just initiated an HR newsletter in my company. The idea of my newsletter is basically to act as an intermediary between the ex-employees and my company. We try to share all the events of the company through a gallery of photos, some nice articles, the latest achievements such as accolades of the employees/company, and also the new joiners. You can do research on any topic in HR and ask for views. This way, you can attract attention to your company as an HR professional.

Now, let's start building on this. Feel free to drop all your ideas.

Introducing an HR Newsletter in an organization will be a major accomplishment. Though it might appear simple, we need to think of sustaining it throughout, which itself is a challenge. The Newsletter serves as a platform to educate employees on certain interesting things that are happening within and outside the organization. Most companies opt for E-Letters that are circulated to all employees. The E-Letters are formulated in such a way that they are simple and interesting to read.

The following things could be a part of the HR Newsletter:
- New Joinees' Information
- Employees who celebrate their Birthdays in that particular month
- Few interesting Anecdotes
- Rewards and Recognition Winners' photographs with a small write-up
- Photos of some CSR activities
- Upcoming events, Customer Visits, product launches, and recent updates about the organization
- Internal Competitions, displaying employees' photos (winners)

People read it with lots of interest if it is colorful and presented well. To encourage or measure the percentage of people who read the newsletter, you can think of asking a few interesting/simple questions on the articles that are displayed, and suitable prizes can be given to employees for correct answers. Involve people while naming the newsletter.
