How Do I Calculate Annual Leave in Working Days Without Including Weekends?

Regina HR
Annual Leave Policy Change

Currently, we have an annual leave (paid leave) of 30 calendar days in a year. It is calculated as 2 and a half days per month and includes the weekends. Now, we want to change the annual leave to working days, i.e., 22 days in a year with 8 days for weekends.

Formula for Calculating Annual Leave

I need a formula to calculate the annual leave on a daily basis. For example, if my date of joining the company is 20.04.14, what would be the leave balance today?

Currently, when we enter the total leave requested and the leave start date, the system automatically calculates the end date and other details. I need the system to do the same when we request leave for 25 days, accounting for the removal of weekends so that the total leave days remain at 25 days.

Please assist with this matter.

I don't fully understand your query, but I would like to know a few things from your end.

1) In a 30-day leave, there will be 4 weekends off, not 8.

2) The system will calculate the number of days from the start date to the end date; it will not exclude the weekends. (If I am not mistaken, kindly consult your EDP.)

With regards to the formula, please deduct 52 weekends from 365 days and divide the number of leave days for the year, i.e., 22 days (in your case), by 313 days (365-52). I hope I have attempted to resolve your query to the best of my assumption. Please wait for seniors to give their view.

Dear Mr. Saji,

Thanks for your reply. Our week offs are 2 days; we are working 5 days a week. The total number of days in a year is 365, so I have deducted 104 days as week offs; the balance is 261 days. Leave days will be 22 working days per year.

Suppose I want to take 30 days of annual leave. The leave starts from 01.08.14 to 30.08.14 (30 days); how should the system calculate this as 8 days are week offs? I need a formula for this.

Regards.

Dear Mr. Saji,

Thank you for your reply. Our week off consists of 2 days; we work 5 days a week. The total number of days in a year is 365, so I have to deduct 104 days as week offs, leaving a balance of 261 days. Leave days will be 22 working days per year.

Suppose I want to take 30 days' annual leave starting from 01.08.14 to 30.08.14 (30 days), with 8 of those days falling on week offs. How should the system calculate this? The system will calculate from the available leave balance; there should not be a formula for taking leave. For leave accrual, you can use the formula 22/261 to calculate the leave per day, and the system will adjust accordingly for the number of days worked in the year.

I hope this clarifies the process.
