An ESIC inspector recently conducted an inspection at my workplace. What documents should I expect to receive from him after the inspection?

Generally, when an inspector visits your premises, he will provide the list of documents needed for inspection. If no one attended to him during his visit, you may contact him or wait for the inspection report, which will mention the list of required documents.

After the inspection, the Insurance Inspectors (Social Security Officers) are expected to provide two documents:
1. Visit Note - recording the details of the documents verified.
2. Observation sheet - mentioning the amount of additional contributions payable by the establishment.

The Inspectors also prepare a detailed Inspection/Enquiry Report to submit to the department, a copy of which will not be given to the establishment. However, you can obtain it under the Right to Information Act.

Documents Required for ESI Inspection

The following documents should be kept ready for ESI inspection:

1. Challan details from the date of the last inspection.
2. Attendance register
3. Wage register
4. Accident Register
5. Balance sheet and cashbook for the year which he wants to verify
6. Bills and vouchers
7. List of employees not yet taken for Pehchan card. This can be obtained from the ESI website.
8. Details of any outside job if applicable
9. Visit note
10. Last inspection report.
