I am working in HR at a consumer durable company and am responsible for handling Full & Final settlements.

Handling Employee Resignations Without NO DUES Form

What should we do if an employee resigns and leaves without submitting the NO DUES form or without obtaining clearance from the relevant department, even without claiming their Full & Final settlement?

What is the process for settling these types of cases?

You must have his contact details in your employee master. Try all possible measures to contact him before marking him as absconding. If he is not reachable even after all your efforts, mark him as absconding with F&F pending.

Please make sure with the other departments if the employee owes money to the company. Based on the information, you can prepare the Final Settlement and keep it in the personnel file as pending. Attach a small note, mentioning the incident/reason for such behavior for future records. This will help your colleagues/management to respond to him in your absence, in case the employee comes back and claims pending dues in the future.

You probably have his family/relatives/friends' contact details somewhere in your Employee Details Form/Joining Form/Application Form. Try to contact them and explain the seriousness of the case. If you do not receive a positive response, you can put his name for absconding/blacklist in the immigration system.

I agree with the earlier reply. Please mark it as an absconding case and keep the full and final settlement pending. We also encounter such problems frequently in the case of Diploma Trainees.
