Creating Comprehensive Attendance Format in Excel for Employee and Vendor Management

Hi,
I have recently joined a new organization where my manager has asked me to prepare an attendance format in an Excel sheet for all the branches, including all the vendors in a single sheet. Please help me out with how to prepare this sheet. Looking forward to your valuable replies.

Dear Rupashree,

This format can be prepared by following this way:

First of all, on the top of the sheet, just mention the "Name of Location". Then the header will start for the table, in that keep 7 Columns: S. No., Name of Empl., Dep./Desg., In Time, Sign In, Out Time, Sign Out. You can also keep a blank column between In Time-Sign In and Out Time-Sign Out.

That's it.

Apart from this, I suggest keeping separate attendance for on-roll employees and each individual vendor.

Thank you for your suggestion. I would like to know how I can include the vendors' details in the same sheet since this organization collaborates with three to four vendors. The corporate staff do not require the in-time and out-time information. However, they do need the specifics of leave, overtime, and absence in an Excel format.

It would be convenient if you could share any format that may be available.

Dear Rupashree,

If you use the attendance sheet with In Time & Out Time, you can easily find the particulars you need. By using the simple signature sheet/register, you can easily point out the Presence and Absence. Accordingly, Leave/Absence can be determined.

However, if you also need to keep track of overtime (OT), then you will have to maintain the In Time and Out Time. This information may be kept in Sheets, Registers, or a Bio-metric Attendance System. This is the only way to find out the OT hours. If you do not know when the employee came in and when they went out, how will you calculate the total working hours?

Hello,

You suggest the installation of a biometric machine in the office where all the employees' and vendors' biodata can be configured, and it remains a valid document. There is no need to have the sheet signed by any person. This is a modern system.
