Understanding Joining, Offer, and Appointment Letters: Can You Explain the Differences and Share Formats?

Hi All, Please explain to me the differences between a Joining letter, an Offer letter, and an Appointment letter. I also need the formats for these letters. Looking forward to hearing from all of you soon.

After the completion of the selection process, an offer letter will be issued to the selected candidate. If the candidate is a fresher, they may join immediately. If the candidate is currently employed elsewhere, they will need to submit their resignation, get relieved, and then join the new company. Depending on the company's rules, this process may take one, two, or even three months.

Once the candidate is relieved from their previous company, they will report to the new company for joining. At the time of joining, the HR department will obtain a letter of joining, also known as a joining letter.

Upon joining the company, the management will issue an appointment letter detailing all service conditions, salary information (as annexure), etc., which will serve as a foundational document.

An offer letter is issued by the employer to a newly recruited candidate before joining. A joining letter is written by the employee to the employer, indicating acceptance of the offer letter and willingness to join or confirming that they have joined. An appointment letter is issued by the employer to the employee after the completion of joining formalities.
