How to Handle ESI Number Transfer When an Employee Has Two IDs? Seeking Advice!

Hello seniors, juniors, and peers,

This is Vikas Khatter. I have a problem with transferring ESI IP numbers. One of our employees has two IP numbers. I recently joined my present company and registered the employee in the ESI portal, providing him with a TIC after generating it. I was unaware that the employee had previously worked here; he was employed under our organization's main ESI code registered in Faridabad.

Now, he is working in our sub-unit registered in Okhla, Delhi (ESI sub-code). He completed the formalities for the photo using the old number but did not visit the ESI branch office to collect the smart card. Upon rejoining our sub-unit, he did not inform me that he already had an ESI number. At that time, I was also new in the organization.

When he visited the ESI branch office in Delhi for the new ESI number photo formalities, he was successful. However, when he inquired about the smart card for the newly generated ESI number, he was informed that he had two ESI numbers, making him ineligible for a smart card with the new number. The ESI personnel advised him to request HR to transfer the contribution amount from the new ESI number to the old one.

His new ESI number's date of joining is 01/04/2013. I have now inserted his old number in the ESIC portal. The ESIC personnel instructed me to indicate his date of joining with the old number as 01/04/2013 and to draft a transfer letter on the company letterhead.

My concern now is that I have been instructed to fill the contribution using the old ESI number and not to fill the employee contribution under the new number. Should I show zero days of contribution under the new ESI number, stating a leave reason? When can I indicate that he left the new ESI number, considering the ESI contribution period is from March to September?

When should I prepare and send the transfer letter to the ESIC branch office? Please advise on the type of letter I should draft for this situation. Is there a specific form for writing this letter?

A better way is to not fill contributions in the new IP and let his old number continue. It will be helpful for the employee to benefit from the ESIC hospital in case of an emergency. After 3 months, the validity of his new IP will expire automatically. Just take care not to fill contributions in both the IPs.

Sorry for the incorrect information. Actually, that IP number is valid for a lifetime, so you should record the contribution under the old number only. Please consult with your advisor for guidance. Additionally, visit the ESIC site for more information.

For the above matter, ESIC has already provided a form to transfer the IP contribution. You can find the same on Google or on the ESIC website.

Thanks for your suggestion. Can you provide me with the details of which form I should use to transfer the new IP contribution into the old ID number? Apart from this, I would like to know if I fill this month's contribution in the old number, should I show zero days of contribution in the new IP number by disclosing the leave reason? Please suggest to me.

Thank you, Vikram ji. Should I print Annexure A and B on letterhead? The ESIC branch office personnel instructed me to write the content on letterhead paper. Will it be appropriate to print these annexures on letterhead?

Hi, this is Devsi Solanki.

Please visit the ESIC office and request to discontinue the new IP. Don't forget to bring the ESIC annexure form with you.

I have two IP numbers. I told my company to transfer my new contribution to the old one. But I don't know how long it will take to transfer the new IP to the old IP because I am currently in an emergency. How can I seek treatment? If there is any way, please let me know.

Request for Guidance on ESI IP Number Issue

Requesting your guidance on this: We have engaged some employees who were using old IPs (about which our previous HR was not aware). After joining, as a routine procedure, we have generated new IPs (4115615680, dated 01/04/2016) to continue. However, now, due to the two numbers, they are unable to obtain Smart Cards and avail benefits. The regional ESIC has informed us to continue with the old IP (4111160114, dated 01/04/2006 to 31/03/2016) and transfer contributions from the new number to the old number.

My mom is hospitalized with very serious issues, but the option of superficiality is not available. Could you please suggest how we can insert the old IP number under our employer code? What is the process for that?
