Implementations To Make My HR Department More Efficient / Effective

I am an entry-level HR professional working for one of the leading automotive dealerships in Kerala. In terms of a specific brand, we hold a monopoly, excelling in every aspect such as customer satisfaction and sales. I have recently joined this organization and am eager to give my best effort. My senior HR colleague and I have introduced initiatives including a Newsletter, exit interviews, PPT Induction training, and background checks. I would appreciate your advice on how I can further enhance our HR department to be the best and what measures the HR team could implement for the benefit of the organization.

You can also start some employee engagement activities, analyze the training your employees would need, and create an annual training calendar. Remember, HR can have the biggest influence in any company. Wishing you good luck.

To begin with, ensure the entire HR team, including yourself, understands the business and business challenges that the organization faces. Listen to your customers (internal employees) and create channels of communication. Conduct stay interviews, open houses, and departmental meetings. Through these initiatives, identify areas that need improvement and, in discussion with employees, arrive at interventions. This will ensure employee buy-in and provide them with what they need to perform better and excel in their roles. After all, only those products and services that customers want sell in the market. The same principle applies to your customers - all employees!

Hi, I suggest you to:

1. Automate the Excel sheets that are used extensively in your daily work (using macros and formulas).
2. If you know about graphical report generation using Excel charts, it will be better, and I feel it will be liked. Since there is a huge amount of data in multiple Excel sheets that takes time to analyze to understand the trends. If you can create graphs or generate some kind of conclusion (maybe graphical), it will be nice.
3. Understand company policies and create presentations on them.
4. Start knowledge-sharing sessions weekly or bi-weekly; where you or someone will explain HR key points/company policy and attendees will discuss how to adopt new things or improve existing policies.
5. Study on behavioral science because HR deals with humans and think about creating/modifying policies based on it.
6. Think of the need for any report/data that is required from time to time but there is no standard document or established process so far; work on it.

It has only been two months since I joined this company, and my HR team and I have implemented a couple of things such as a newsletter, exit interviews, and background checks. I have also introduced an anonymous feedback questionnaire, especially to gather feedback from others about the HR department. The reason for this initiative is that I have noticed a few delays in certain processes. My goal is to prevent any further delays.

It is really commendable that you have implemented good HR practices such as Employee Newsletter, Exit Interviews, Employee training, etc., and that you are eager to introduce even more best practices in the organization.

1. You can introduce the concept of "Employee of the Month," where the Sales consultant who has sold the highest number of cars, your service advisor who has generated the highest amount of labor, or your customer care executive - telecallers with the highest performance in terms of customer appointments for service can be recognized. You could also consider rewarding them with a prize when company representatives from their respective functions visit your dealership, if your budget allows. The prize could be a dinner with the Company Representative at a good hotel.

2. Automobile manufacturers often organize nationwide contests. Encourage your employees to participate in such contests. As there are different rounds of contests, remember to acknowledge the performance of any of your employees by sharing their achievements with others.

3. While I am unsure about your dealership, it has been observed that many dealerships face the challenge of high attrition rates. Design a special badge for employees who have completed, for example, five years with the organization. I am confident that long-time employees would take pride in wearing such a badge.

These are a few practices that I implemented in my dealership, and as a result, it was recognized as the best dealership in HR policies by the parent company during my tenure with the dealership.
