Issuing Performance Incentive/Increment Letters

Issuing a copy of a performance incentive or increment to an employee is a mode of communication to inform them; it is not an approval being sought. The action needs to be completed unless there is a genuine reason to deny it, such as a grave lapse in the procedure, wrong interpretation of any policy term, or clear victimization (this can be supported if the rating is drastically lower than the previous year). Otherwise, "I have been rated lower than what I deserve" is a universal feeling and is normal.

Though it is advisable to have at least one session of counseling with such an employee to listen to them, if no genuine concern is found, convince them to accept.

This topic has been discussed quite a few times earlier. Being an old member, you could have done 'Research' and found out for yourself. Here's the research link for the earlier threads—I am sure you will find many suggestions and possible action plans for the situation you are now in—take your pick.

Not accepting Appraisal Letter

If, however, you still have any specific query after perusing through the threads, you can then post the query/queries for the members to suggest/respond.

All the best.

Thank you, Mr. Shailesh, for your comments. The one-to-one session is also not fruitful. Hence, what could be the action plan? Can we process his salary with the revised one or the previous one only? Can't we take any kind of disciplinary action against the employee?

Line Manager's Responsibility

In this process of distributing the letter and accepting the letter, is it the line manager's responsibility as the line manager only rates and gives the revision? Is this appropriate?

Why is the Employee Not Accepting the Increment Letter?

Have you invited the employee for a one-on-one meeting?

You shall go ahead with processing the salary with the revised amount. The employee's actions do not warrant any disciplinary action. This is an emotional reaction that will subside with time.
