How Do I Write an Effective Email About Our New Clean Desk Policy to My Team?

I need to send an email to my employees about the clean desk policy. The points that need to be covered are:

1. All papers lying on the desk will be shredded at the end of the day.
2. Ensure that all papers are shredded by the office boy.

Could you please help me draft an official email to all my employees regarding the clean desk policy?

Hi Precilla, do you actually have such a policy? If not, then you need to formulate one. If you do have one, then the following email should suffice:

Memo to ALL Staff:

You will be aware of our Clean Desk Policy. (See Attached) Please take note that as of (Insert date), this policy will be enforced. The reasons for this are due to... (Insert reasons)...

Therefore, I have instructed (insert name of Office Boy) to ensure that any paperwork left on your desk after (insert time) is to be removed and shredded. I trust you will all cooperate in maintaining this policy. Should you have any questions or queries, please contact me.

Appreciating your idea to keep the desk clean regularly. However, I would also like to mention that care should be taken while using resources like paper. Printed and photocopied papers, once considered waste, can be repurposed as rough sheets.

I believe that before shredding a whole lot of papers, care should be taken to check if there are any casual papers that can be reused as rough drafts. This initiative could be a Desk Clean-up and a Go-Green campaign. Just a thought.
