What Job Title Fits a New Hire Handling Multiple Roles in a Small Construction Firm?

I am working in a construction firm with only 15 employees. We have appointed a candidate who is a relative of one of our partners. Now, I would like to issue an appointment letter, so I asked my senior about his designation. He said the candidate looks after everything, i.e., sales, suppliers, etc. I am unsure what designation to consider as he is a fresher in our industry, but overall, the candidate is a hard worker, well-educated, and sincere.

You have mentioned that yours is a construction firm. What kind of assignments/tasks is that person handling? It's difficult to suggest a designation without having more information. At the same time, in my opinion, the designation of "sales supplier" seems to be inappropriate, as "suppliers" are generally third parties. If that person is dealing with sales, like keeping track of it or following it up, then you can designate him as "sales tracker," etc.

I second Mr. Raj Kumar's responsibilities, past experience, knowledge background, education qualifications, and present assignments that he is going to be assigned. This information can only help you in this regard. As per your senior/boss/MD's statement that this new employee is going to work for the whole, you can designate him as an EXECUTIVE - WORK/Department (i.e., Purchase/Procurement, Project, Sales, etc.) or else as a Representative - Sales & Other (as per assignments/responsibilities) that can cover all sales-related work.

Secondly, how can you say the candidate is a hard worker, sincere until you appoint him and judge his performance and sincerity? It is just like your seniors appraise him, and you are following his words only but can't recommend at your end. However, this is not your concern here, but I just wanted to remind you of this.

Please follow up with the agencies and their contractors for work. Also, ensure to follow up on purchase orders if there are any delays for any reason. Additionally, he attends to clients if anyone comes in with a flat inquiry. In short, he is the representative for the Sales, Purchase, and Engineering Departments. The qualification required is a B.Com degree.

Probably you can put the designation as "Coordinator - Sales & Customer Service." Seniors, I need your opinion too on whether I am correct or not.

You haven't mentioned the level/seniority of the person. However, going by the areas he seems to be handling, Executive/Senior Executive - Operations would be the best fit, I guess.

Structure of Designations

Have you got a structure of designations? Designations should be structured in such a way that they have a direct linkage to salary level, responsibility, and level of hierarchy. If you assign designations randomly, you may find juniors/freshers holding higher-level designations than those with more knowledge, skill, and experience. Develop a matrix of designations in an Excel sheet and see how it looks!

While I appreciate that the person is new, designating him as a senior executive seems a bit exaggerated or over-designating him. However, suffixing "Operations" may be okay.

Appropriate Designation for a New Employee

Project Coordinator can be an appropriate designation since he is coordinating different projects for various stakeholders.

You may consider the designation as 'Executive - Business Relations,' which could adequately cover the job responsibilities assigned to the individual. Just inform the individual verbally first, see the reactions, and formalize accordingly.

In small organizations, HR has a unique task of creating designations and new job descriptions. Enjoy the learning offered by such opportunities. There is nothing known as 'standard designations/job titles'.

When you are not clear about what designation to give, just stick to the simplest one. There is no need to complicate life and titles by making them long and specific.

If he is a fresher, give: executive or junior officer. If mid-level: Jr. Manager, Asst. Manager. For the upper level: Manager, Sr. Manager. You can include the department if you want, or just leave it blank! There is nothing wrong with that.
