In our company, there is a security guard who has an ESI number. He went to the ESI office to apply for an ESI smart card. However, he encountered a problem. He was working at G.K Security, and they provided him with an ESI number. He also applied for an ESI smart card using that number. Later, he resigned from that job and joined our company. We issued him a new ESI number. When he went to apply for an ESI smart card, the ESI officer informed him that a smart card had already been issued by his previous company, and he could not apply for a new ESI card. Please provide me with a solution for this situation.

It is very simple. Just enter the previous ESI number in your ESI payment challan, and pay the amount using the old ESI number. There is an option to change the details; it will work. It is easy.

As per your issue, simply forward the email to the Joint Director, ESIC, SRO, requesting the deletion of the latest IP number and the transfer of all data to the old IP number. Also, remember to cc IT Care ESIC; they will assist you.

ESIC & PF Transfer Terms

ESIC and PF have the same terms regarding the transfer of employees. You can use the same ESI number from your previous employer for your current contributions and filings. You can also continue using the same card provided by your previous employer. Please verify your contribution credits at http://www.esic.in/EmployeePortal/login.aspx.

When a new employee joins your company, it is important to check if they have an existing ESI Number or PF Number. If they have a PF Number, they can withdraw the PF amount, and then you need to create a new PF account for further contributions. However, an ESI Number is valid for a lifetime. Even if the employee moves to different companies, they can continue using the same ESI Number.

When generating the ESI Challan, you need to paste and import information from the employee's previous company.

Kindly collect the old ESI number from your previous company and insert it into your current company records. Please ensure to pay the contribution for the same. Also, utilize the smart card issued for the previous company's ESI number.

You can coordinate with the ESI local office to provide them with the updated information regarding the change in the number, as this information is also relevant to his future claim. Therefore, it is essential to inform them whenever there is any change in the number on the portal. This is due to a previous claim case that we encountered for the same reason. They have advised us to notify them in writing for such changes.

If ESIC has issued the Smart Card under his old number, they will not issue a new smart card with the new number. Please verify if the smart card is still with the previous employer. If not, you will need to reapply for a new card.

You should initially contact their local office via email to request the transfer of contributions from the new number to the old number, which will be handled by their IT department. Their IT department will reach out to you to confirm the transfer. Once the contribution transfer to the old number is confirmed, mark "Resigned" against the new number when submitting monthly returns. The old number will then be transferred under your company ID.

Any updates such as changes in family details, address, etc., can be edited online.

IP Number Validity

The IP number once given is valid for the lifetime of the employee. He need not register himself again even if he changes location or employment. It is a unique number.

Confirmation Before Registration

Please ensure that you confirm from the employee that he is not having any earlier number before registering him as a new IP. This is for the benefit of the employee.

Consequences of Re-registration

In case he has already contributed under a number, all the benefits he is due as per the contribution will not be available if he registers himself (new number) again.
