Hi, I am working as an HR Executive and need to prepare an attendance policy. Kindly help me in creating the attendance policy.

Attendance Policy Details

• **Working Days:** Six days a week (Monday to Saturday) – Sunday off
• **Office Hours:** 9:30 AM – 6:30 PM
• **Lunch Break:** 1:30 PM to 2:30 PM
• **Grace Period:** 10 minutes (every day until 9:40 AM)
• **Permission:** 2 ½ hours permission (thrice a month until 12:00 PM)
• **Early Departure:** 2 hours (thrice a month)

Leave Entitlements

i. **Casual Leave (only for staff):** 10 days
ii. **Privileged Leave or Earned Leave:** 15 days
iii. **ESI Leave:** As per the ESIC Act
iv. **Maternity Leave:** As per the Maternity Benefit Act (80 days)

I agree with the attendance policy Mr. Bbrindaprathi provided, but would like to suggest a change. I propose a grace period of 30 minutes; anyone arriving after 9:40 am but before 10:30 am would be marked late. Accumulating 5 late marks within a month would result in half a day being counted as absent.

Sick Leave Policy

Employees should be granted 7 sick leave days per year. Alternatively, please refer to the Shops & Establishment Act of the respective state to determine the sick leave provisions. Furthermore, employees should have the option to exchange their unused sick leave for pay at the end of the year, with 1 sick leave day equivalent to 1 day's pay (up to a maximum of 5 accumulated days).

Privilege Leave Policy

Both sick leave and privilege leave should be carried forward for two years. Employees can choose to use their privilege leave or exchange it for pay, similar to the sick leave policy, with no limit on the number of privilege leave days that can be exchanged for pay. For example, if an employee has 8 privilege leave days remaining, they can claim payment for the full 8 days.

Implementing these measures can help in controlling absenteeism within the organization.

I agree with the attendance policy Mr. Bbrindaprathi provided, but I would like to suggest a change in that: "Make a grace period of 30 minutes, mark late if anyone comes after 9:40 am to 10:30 am. Five late markings will lead to half a day's absence in a month." Provide seven sick leaves in a year or refer to the Shops & Establishment Act of that state for sick leave provisions.

Two Saturdays are full working days, and two Saturdays are fully holidays. Nine hours per day are considered as working hours (including breaks).

If a person wishes, they can exchange their sick leave with pay at the end of the year. One sick leave day equals one day's pay (a maximum of five sick leaves can be accumulated). This approach can help in controlling absenteeism in your organization.

Carry forward sick leave and privilege leave for two years. Employees can either take privilege leave at the end or exchange it for pay, similar to sick leave, but there will be no limit for privilege leave. If a person has eight privilege leaves in balance, they can claim the total eight days' pay.

By implementing these changes, you can effectively control absenteeism in your organization.
