Navigating ESI Benefits After Job Change: What Steps Should You Take Without a Smart Card?

Hi all, I want to know if a person working in a private firm, who has only his temporary ID certificate for ESI and not his smart card, resigns from his job and joins another company after 2 months, can avail the benefits of ESI. The said person does not have a smart card. The ESI office does not have biometrics or photos of him and his dependents. How should he proceed? Does he need to apply again for ESI or just go to an ESI branch office with the old insurance number and get biometrics and photos of him and his family? One has to get the temporary ID certificate attested from his employer. Since he is not working with his previous employer now, what should he do?

ESI Scheme Continuity for New Employees

In the new company, the IP would be covered under the ESI scheme from day one. At the time of joining, he should have handed over the copy of the temporary card issued by the previous company to ensure continuity of contributions recorded in ESIC. Now that he has the temporary card from the old company, he can visit the ESI branch office and dispensary with both the old and new temporary cards, along with ESI Form 37 certified by the new company, to record the contribution payments in the new company. He can also apply for a smart card through the new company.

ESIC Online System and IP Number Registration

Now, ESIC has a full online system in place, so no need to worry. According to the new ESIC rules, each worker/employee will have one IP number for their entire life. Please follow the instructions below:

- Log in to the ESIC portal.
- Click on the "Insert New IP" option.
- Check if the IP is already registered by selecting "Yes" or "No," then click "Yes."
- Enter the required IP number, name, and date of birth, then save to complete the process.
- If this IP belongs to you, proceed to amend the IP details and print a copy. After signing and stamping the copy, hand it over to the IP as a temporary card.

One of our new employees recently joined from another company where he had his own ESI IP number. Now, his new Temporary Identification Certificate (TIC) has been created by the new company, but he has not been able to get the ESI smart card. As a result, he is also unable to avail the benefits from the ESIC hospital by providing the TIC.

Can anyone tell me how he can get the ESI smart card?

This is very urgent as his mother is very ill, and he still has not been able to access the benefits from the ESIC hospital.

Common Mistake in HR Practices When a New Employee Joins

This is a mistake HRs often make when a new person joins. You can now re-register the same employee with the old registration number and start remitting the contributions for that employee using that number only. When you begin registering a new employee, the system will automatically display "already registered," and if you proceed by entering the old number and date of joining your company, the details will appear on the page. That is sufficient. You do not need to make any other entries unless a correction is necessary.

For benefits, the employee should use the same card that was issued previously. There is no temporary ID card for such employees. Temporary ID cards are for employees who are being covered for the first time.

To transfer the remitted amount to the new account generated to the old number, you will need to write to ESIC and follow the manual process as directed.

Agreed with Madhu T.K. that after completing the joining formalities, please ensure that the employee hasn't had an ESIC card previously. If they have, please make sure that the previous number is carried forward so that they can continue to enjoy the benefits.
