Can anyone fill out this attached leave card for me so I can understand it easily? I am new to the HR field.

Understanding the Leave Card

The Leave Card explains the annual leaves availed and the balance to be carried forward to the next year. The annual period is shown from April 2007 to March 2008.

• Rows 7 and 8 reflect the opening balances as of 1st April 2007.
• Columns F and G against each month in the annual period reflect the leaves availed in the respective month, whereas the corresponding columns H and I reflect the balance at the end of the month.
• The narration or remarks of each leave are mentioned in Column E against each month.
• The closing balance as of 31st March 2008 is shown in rows 23 and 24.

Please do let me know if more clarity is required.

1. What does CL mean?
2. What does PL mean?

Why are there two columns for the number of leaves and number of days? What does that mean? If possible, kindly fill out the attached form for me.

Understanding Leave Types

• CL stands for Casual Leave.
• PL stands for Privilege Leave.

Leave Entitlement and Usage

• The column "Number of Leaves Entitled" indicates the annual entitlement for an employee as per the company's policy.
• The column "Dates of Leave" indicates the dates on which the leaves are availed in that respective month.
• The column "No. of Days Leave Availed" indicates the total number of leaves availed in that month.

I have filled out the attached form for a better understanding. Please let me know if you need more clarity on the same.

As per the attachment, the number of PL (Paid Leave) availed depends on the organization. PL can be carried forward to the next year, whereas CL (Casual Leave) will not be carried forward; it should be used within the year. SL (Sick Leave) is different from CL. SL leave is calculated based on the number of days. For example, for each month, you will get 1 SL, and likewise, for 12 months, 12 SL. CL & PL depend on the organization's policies. You need to know how many of the leaves can be carried forward to the next year. If you are paid monthly, the financial year, like April to March, will be the financial year. This is maintained by manufacturing concerns. Some IT & BPO companies follow the calendar year. Even daily paid (wages) laborers follow the calendar year. If further clarifications are required, let me know. If I am misguided, guide me to the right path.

Dear Sameeran, the casual leave is a paid leave meant to cater to sudden contingencies, whether related to a sudden short illness or work contingency. This leave cannot be carried over to the next year. On the other hand, PL is earned depending on the formula followed in your company for one day over the number of days worked. It is cumulative in nature and can be availed for any valid purpose (whether sickness or otherwise) but with prior approval from the management. PL is also earned on leave taken. Presently, the system is also being followed for crediting the two leaves in advance.

I have attached the automatic leave calculation format here. I think it may not clear your doubt, but I am sure it will calculate your leave as per your requirements (fields are blocked to avoid deletion of formulae). Please go through it. If you have any doubts, you can ask.

I think it would be better if we add a column for "leave earned in the month" so that we can include the compensatory off (CO) and the privilege leave (PL) earned by working on Sundays/holidays as compensatory off in each month.

Leave Entitlements for Government Employees

Government employees are entitled to 3 Privilege Leaves, non-deductible from Earned Vacation Leave, which is earned monthly at a rate of 1.25. Additionally, there is Sick Leave earned monthly at the same rate of 1.25.

Year-End Leave Accumulation

At the end of the year, an employee can earn 15 leaves for Vacation Leave and Sick Leave. There are 3 Non-deductible Privilege Leaves for a year, along with five mandatory leaves for a year. Any unused leaves at the end of the year will be deducted from Vacation Leave unless disapproved.

Sick Leave Requirements

If an employee applies for more than 5 days of Sick Leave, a medical certification is required.

Special Leave Provisions

Solo parents have 7 non-deductible leaves with a valid reason stipulated by the regulations and a valid ID. Emergency Leave is 7 days non-deductible, with a special order declaration and barangay certification.

Leave Without Pay (LWOP)

For Leave Without Pay, employees earn leave equivalent to the number of LWOP days, not exceeding 15 days. LWOP exceeding 30 days requires approval from the General Manager or the head of the agency.
