Vehicle Logbook Maintenance Guide
Maintain a logbook in each vehicle. At the start of the day, record the meter reading and the driver's name in the logbook. Note the distance traveled from one destination to another and have the person traveling sign with their mobile number for verification when they reach the destination. When refueling at the petrol/diesel station, have the driver note the meter reading, quantity of fuel, and keep the receipt. If possible, during office hours, send a person from the admin department to the fuel station along with the driver for inspection. Conduct surprise checks at regular intervals. At the end of the day, calculate the total kilometers the vehicle has traveled. Maintain a monthly account with a nearby fuel station, convenient to your office. Settle the account monthly, and the fuel station will provide triplicate coupons for accurate billing.
