Struggling to Correct Employee Name Spelling Errors in ESIC Database – Any Solutions?

Can someone tell me how I can change the names of a few employees working in my firm? There are mistakes in their spelling that need to be corrected. I have tried doing this after logging into the ESIC website, but the name field is unable to be edited. Please help if possible, and provide me with a solution.

The same case I have suffered in my company. I visited the Zonal Office of ESIC at Indore and filled out a written application with the employees' correct names and existing names along with their respective ESIC IP numbers. After 2-3 weeks, the names were updated in the system. If the employee receives their Pehchaan Card with the wrong name, it still won't affect the benefits as the card will be swiped at an ESIC hospital. This will provide a direct link to the ESIC site where the correct name will be displayed.

I have tried, please try and change the name. You are requested to follow the following steps to update the IP name:

1. Login to ESIC portal.
2. Click on the Update IP Details link.
3. Type the employer code in the Employer Code field.
4. Type the insurance number in the Insurance Number field.
5. Click on the view button. The IP details appear.
6. Click on the Select button.
7. Click on the view button. The declaration form appears.
8. Change the Name to the correct name.
9. Select the checkbox for "I accept the terms and conditions."
10. Click on the Update button.

Try once again by clicking on the "Update IP Detail" button. Enter the Insurance Number and the Employee's Name. Click on the search button to view the IP details. Then, click on the select button to access the declaration form. Update the name to the correct one, and finally, accept the terms & conditions.

Exactly as you mentioned, I am familiar with the above process. I have completed it several times. All fields except the Name field are editable. However, the Name field cannot be edited; it appears deactivated. The cursor doesn't work on it in my case. Maybe it works in your case. Thank you for your great help.

It is not possible to change the name from our end. You should submit a request to your branch office for a name change. They will process it within 2-3 weeks.

Changing Employee Details in ESI Records

The ESI, the IP Name & Number, once registered by the employer, cannot be changed. However, the employer can make changes to other details such as the father's name, date of birth, address, family details, and nominee in the update detail link. The IP Name & Number can only be changed by ESI officials.

Correction of Employee Name

For the correction of any employee name, please write a letter to your EISC local office or regional office for the correction of the employee's name with valid ID proof (correct name spelling) and the employee's ESIC card. This correction can only be done through the ESIC office, as they have access and authorization for name corrections.

I guess CB.NIXS is right. If the name or father's name has been filled incorrectly at the time of registering the employee in the ESIC portal for the very first time, then it can't be changed by the employer in the ESIC portal. The employer should submit a written joint application on plain paper, mentioning the correction, which should be signed by both the employer and the employee together.

Sir, the appropriate Branch Office of ESIC to which the insured person is attached is the proper authority/office to make corrections, etc., in the names of insured persons, dependants, family members, etc. Therefore, it is better to contact the said office. However, if the necessary action is not taken by the Branch Office Manager, the issue can be raised either by phone, email, or in person with the Branch Officer of Benefit Branch at the relevant Regional/Sub-Regional Office of ESIC.

Please fill out form 266 and submit it to the ESIC office (not the hospital). Your name, gender, and date of birth cannot be changed online.

There is no online process to change an employee's name in the ESIC portal. Employees need to submit a name change letter to the regional ESIC office through their employer. You can download a sample ESIC name change letter @ how to change an employee's name in the ESIC portal.

Name change on the edit section is not allowed. You have to go to the nearby ESIC office and submit an application for a name change request.

Hello,

Just visit your local/branch office of ESIC and fill out a written request letter on your letterhead. Include the correct name of the employee, their existing name, their respective ESIC IP number, and government ID proof.

If possible, the ESIC branch manager will amend their name in the ESIC portal on the same day.

It is not possible to change the IP name in the ESIC portal; we have to do it in offline mode.
