Subject: Warning Letter - Excessive Leave Usage

Dear [Employee's Name], I am writing this letter to address the issue of your frequent and excessive leave usage. It has come to our attention that you have been taking an unusually high number of leaves, which is impacting your work performance and team productivity.

As an employee of [Company Name], it is essential to maintain a balance between work responsibilities and personal time off. While we understand the importance of taking leave for personal reasons or health-related issues, the frequency and pattern of your absences are becoming disruptive.

I would like to remind you of the company's leave policy, which outlines the proper procedures for requesting and approving leave. Moving forward, I expect you to adhere to these guidelines and ensure that your leave usage is reasonable and in line with company expectations.

I urge you to review your leave balance and plan your time off judiciously to avoid any further disruptions. Should you require any assistance or have concerns that need to be addressed, please feel free to discuss them with me or the HR department.

This letter serves as a formal warning, and future instances of excessive leave usage may result in disciplinary action. Your cooperation in this matter is greatly appreciated.

Thank you for your attention to this important issue.

Sincerely,
[Your Position]

My first point is that if it is leave, it definitely has approval while being availed. Once the leave is approved, it cannot be questioned. Since the staff member has availed many leaves previously, it can be controlled or rejected at the time of approval itself.
