bandna rani
Dear Seniors,
I want to discuss an important matter with you. I am working in Pharma company as a HR Executive.
One of my colleague got increment. As per procedure, we issue increment letter to the field staff if they get increment.
But my boss don't want to issue any thing to back office staff like appointment letter, salary slip & other.
But my colleague want to get increment letter & I made for her. But boss denied to sign & he said why do you want this ? We will give you vising card.
What is this ??? This is not a right thing at all. Please suggest me what can we do this???

Hi Bandana Rani
Subject- increment
Please check whether the back office staff are contract staff which means employees supplied by a contractor to do the work of your establishment for a certain period. In that case, they will not be employees of your company but the employees of the contractor. You need to ascertain the status of the back office staff and discuss with your boss the precise reason.

Dear B.Saikumar,
Back office staff is not on contract basis.
I know the reason behind this. Boss thinks if he provide increment letter to employees then it is easy to them to join another company & they will get a proof from the company.
How can we argue on this point with our boss. Should I argue or not????

Sub- increment

Here two interests namely the employer's interest and the employee's interest that are in conflict. Every employer has the right to organise and manage his business in the way that suits him since he invested his capital in it. He cannot be expected to run his business with a floating work force which cannot assure him reasonable stability. If the business is loosing, the employer, being captain, sinks along with the ship while the employee deserts a sinking ship and hops on to a life boat to save himself. this is the lurking fear in the mind of teh employer. The employee too at the same time has every right to promote his career and the employer can not act in any way in restraint of it.

As HR, you need to balance these two interests. If employment is a contract, it cannot be one sided either from the employer point of view or the employee point of view. One of the via media that was thought of is imposing a clause in the contract requiring an employee to work for a minimum peiod. In that case, the employer will be guaranteed by the employee for his stay for a minimum period agreed up on and may not resort to these unethical practices and the employee on his part can also be free to pursue greener pastures after the expiry of the said period.

Sub: Increment
Dear Bandanaji,
In most of firms increment is given to all employees together in the month of April every year and newly joined employees who have completed at least six months service in the present firm are given increment individually. We do not issue any letter to employee/s for increment.
How ever if any employee is asking letter for increment, you can discuss with your Boss, if he agrees for it then only you can issue a letter otherwise not. As per my views, issuing such letters to employees should not be in practice.

Hi,
Mr. Sai Kumar Is absolutely right on his points leagally,The fact read above reflects somewhere every one is true to their statements, however I feel that if a company has its policies in place the issue can be directed towards such policy. And Im sure that company with stringent policies and stratgies in place will never allow such issues to develop even.so, Miss Bandana ji you can always refer to such policies if you can.
Thanks and warm regards

Any company needs to provide the following documents to its employees –
1) Letter of Offer
2) Letter of Appointment
3) Salary slips (either softcopy or hardcopy).
4) Letters of increments and promotions
These documents are required by an employee, not only as a proof of employment but these are also required to apply for credit cards or loans.
I hope this will help. Have a great day and take good care of yourself.

Dear Bandana,
As per my point of view company should provide an employee with increment letter or appraisal letter. B'coz this is the way to keep your employee motivated and motivation is one of the best method to retain an employee. and just b'coz of the fear that your employee will leave your company u are not providing them these, this will surely demoralize them and they will search for something better. it is well said that "happiness lies in overcoming the fears".
Just discuss the thing with your boss and hope for the best.

Documenting every action or decision of yours is one of the key for the success in HR department. Giving documents is mandatory and you have no choice in this regards. Providing mandatory documents to your employees has nothing to do with the motivation of an employee.
Tell your boss that he needs the documents to apply for a credit-card or loan.
