I would like to share my ideas on the process I use when appointing any employee.
Digital Offer Letters
Firstly, why waste hard copies and papers? Send the offer letter through email initially, and provide a hard copy once you are certain that the candidate is accepting the offer.
Importance of Letterhead and Company Stamp
There is no hard and fast rule that a logo must be included. A logo simply represents your organization's brand name. The letterhead is crucial, so prioritize the letterhead and company stamp. An offer letter without a logo is still valid, but documents without a letterhead and stamp are considered invalid.
Document Format Considerations
Even though a PDF format is not mandatory, it should be noted that PDF files can be easily downloaded and converted to Word for free using online document converters. If you are concerned about editing, you can utilize a basic Word file with some read-only formatting. I agree that the professional way is to include the logo on the letterhead.
Interview and Offer Terms
During candidate interviews, I present them with these options. A security deposit of 10 to 15% of the first three months' salary will be deducted, to be returned only after a specified period or at the time of full and final settlement. If an employee leaves without proper notice, this deposit will not be refunded. The notice period is a minimum of 60 days and negotiable to 30 days. (Everyone seeks growth, but we cannot risk our business.)
Candidates who hesitate to accept these terms are scrutinized more closely, and background checks are initiated, as these individuals often pose future challenges. This approach has proven effective in my business, so I continue to implement it.
