One of our employees worked as an Administration Assistant cum receptionist before she requested to be promoted to Acting HR & Administration Executive with a salary increase. However, she was unable to perform during her role as HR & Administration Executive. As a result, management had to reinstate her position back to Administration Assistant cum receptionist, but without changing her salary. Her increment remains the same.

Here, I would like to know if there is a sample letter that I can write to this employee informing her that her position is being reinstated to Admin Assistant cum receptionist with the salary remaining unchanged.

Handling Employee Demotion and Salary Adjustment

It's very difficult. Even for a demotion, you can only demote to a lower position, but the salary must not be reduced. By right, you should issue a promotion letter with a 3-month probation period. Open confirmation after the 3-month probation, then you may give her a salary increment.

In your case, I suggest keeping the salary as it is for now. In the event your company gives an annual increment or annual bonus, you may exclude her for the above reasons.
