How Should We Handle a Serious Policy Violation by an Employee? Seeking Advice on Termination or Alternatives

Dear Seniors, I am here again with a query. I would like to know what the procedure is to terminate someone on disciplinary grounds when the person has engaged in behavior that is highly unacceptable and could potentially encourage similar behavior from other employees.

Example of Unacceptable Behavior

For instance, during one of our projects, a female employee allowed her boyfriend to visit the project site and stay at the company hotel in her room without permission from senior authorities. It is important to note that employees are not permitted to invite spouses, boyfriends, or girlfriends without prior approval from HR or the reporting authority.

Seeking Alternatives to Termination

If termination is not the only option, I would appreciate any insights into alternative forms of punishment that could be considered for this employee. Your guidance on this matter would be invaluable.

You should issue a show-cause letter to the employee and ask for a proper explanation from her.

Steps to Address Employee Misbehavior

1) Talk to her about the issue (his misbehavior).
2) Take the issue to your senior authorities.
3) Go for a show-cause notice letter or final warning letter and keep a notice board at your workplace.

Dear Chanakya & aparajitaaks, Thank you for your reply. My senior is also aware of this. I am concerned about how I should proceed with her termination and/or if there is anything we can do if termination is not the only option. Additionally, we just appraised her last month for her good work. Will terminating her right after the appraisal cause unrest among employees? I do not have experience in dealing with such matters as I am a fresher. Kindly advise.
