Is It Okay to Resign via Personal Email When Working at a Client's Site? Seeking Advice

I am working in a consulting firm. Now, I am about to send my resignation, but the constraint is I am working at the client's place. Is it okay if I send it through Gmail or Yahoo instead of sending it through the official mail ID? Please suggest.

You can send your resignation through your official email ID, but also remember to send a (CC) copy of the email to your personal email ID.

As Pon said, try to send one that is signed. You should ideally courier it and not send it via the Internet.

As an HR professional, I would recommend sending a hard copy to your immediate superior, to whom you report. Simultaneously, you may also send a scanned copy to your reporting authority, mentioning in the email that you have already dispatched the hard copy via courier or post. Additionally, it is advisable to send it from your official email address and cc a copy to your personal email address as well.

Kvivekanand is totally right. You should send a signed hard copy to your immediate boss and also take acknowledgment from your boss. Take a photocopy of it and send a scanned copy through official mail, CCing your personal email ID. As HR professionals, we should do things properly. There is no fixed format for resignation, but you can mention the following:

"I am _____________Emp code _______working with your company since____________and I would like to resign from the post of___________. Kindly relieve me on or before___________. I am thankful to all my seniors and peers for providing me support during the tenure of my service. Regards _____(Name) _____(Emp code)."

In addition to the question raised above, can an employee make the resignation immediate and choose not to return to work without any prior notice to the employer?

Resignation submissions suggested by members are great. Please remember not to burn bridges with your present employer. Enmity should also be handled in a way that if you meet each other again, you won't have to hide your face. Leave with dignity and respect.

This has legal implications, so if you are not submitting in person and receiving the acknowledgment, you should send the hard copy duly signed, in duplicate, with a request to return one copy duly acknowledged, and send it by registered post with acknowledgment due. Even if you send the communication through the official email ID, ensure that a confirmation copy, in print and signed by you, should be posted with proof of posting. This is for the simple reason that unsigned communication, particularly in such important matters, sometimes will not be treated seriously.

It is your obligation to keep things straight. When you submit the resignation, you are duty-bound to serve the notice period as per your R&D Rules or whatever Terms & Conditions are applicable to you. Maybe in your terms, it could have been specified what you should do if you are unable to serve the notice period. You still have the choice to either adjust the leave earned and balance at your credit or be prepared to remit the equivalent salary in lieu of the notice period and seek immediate acceptance and relief. This is often at the discretion of your employer. It all depends on your track record.

Dear Kumar, Thank you for your valuable suggestion. Our company will not acknowledge an employee's resignation. Furthermore, we will only receive the resignation letter after a month from the date when the employee is relieved from the company. I have sent my resignation only through my Gmail ID, as they asked me to use the same since I don't have access to our company mail ID.

I suggest first informing your RM about your decision. If possible, submit your resignation manually and obtain an acceptance copy. If manual submission is not possible, send your resignation from your work email ID while keeping your personal ID in the loop. Simultaneously, send a hard copy of the resignation via registered mail for added security.

Remember, ensure a smooth exit by completing all exit formalities and providing a proper handover.
