Hi all,

I am an HR executive with only 4 months of experience. This is the first time my boss has asked me to prepare an induction presentation for the new joiners and conduct the session. I need your help. Please explain how to prepare the presentation and how to conduct it for a group of 12 people. I need urgent answers, please.

For the Induction presentation, you can prepare a PowerPoint presentation about your company. The presentation may include:
1) a briefing about your company,
2) its objectives,
3) details of the board of directors,
4) HR policies,
5) organizational hierarchy, etc.

Hi Meenu,

Abhishek has it correct. If the inductees are themselves freshers, you might have to add certain things like etiquette in communication, in behavior across levels in the organization (remember no one has ever told them about it!).

Decide if it is only Induction alone or "Induction Training". Because the value addition will come with "Induction Training". Adding a flavor of training to your program will go a long way in preventing future problems. For this, you will have to get a good look at the profiles of the inductees. From there, you can decide what all to add.

This is the best and only way of preparing a PowerPoint presentation on "Induction Training". Technical aspects of the company's product must be given adequate coverage for all types of fresh joiners.

Hi!

You should also have something that talks about their progression in the organization. Maybe some success stories within the organization can be shared so that a new joiner feels motivated and has trust in what you are saying as they can see how people within the organization have risen and become successful.

Induction will be a one-day program aimed at giving new employees an overall perspective of the Company. The program will start with an ice breaker (if there are more than four candidates). This is an informal session with the candidates, conducted by the Administration team.

The candidates will also be given an Induction docket to introduce them to the Company. The Induction Docket contains the following information:

1. Welcome letter from the Administration team

2. Profile of ---company

3. Brief on the ---- industry

4. Organizational structure of the Company

(The employee can retain copies of the above).

5. Company laws, Rules & Regulations

6. Grievances procedure & Disciplinary procedure

7. Wages & Salary structure

8. Leave & Holidays

9. Benefits (i.e. ESI , PF , BONUS, GRATUITY etc)

10. Rules for Transfer, Retirement, Termination, Resignation, Promotion, demotion etc

11. Travel Rules

26. The immediate superior will brief the new employee about the job function, responsibilities and co-ordinate with Administration to provide any training that the new incumbent would need to perform their job.

27. The Administration team will also arrange for the new incumbent to meet the President & CEO, preferably on their first day.

28. The induction will be reviewed one week after joining to see the incumbent is settled in the function and to provide any further assistance s/he may require. (Induction feedback form).

I suppose you must have an idea of what should be included in the presentation. You can also consider including the following:

1. About the company
2. HR policies
3. The hierarchy followed
4. Products of the company (a brief description of all)
5. Finally, the documentation (the process of filling out forms)

You can also train the new joiners on how to approach and target customers. If you discuss the strengths and weaknesses of your company and products during the presentation, it will help employees gain a better understanding of the company.

This is the way you can structure your induction program to the best of my knowledge.

Hi All,

I am Rajesh Kumar Mishra, working as an HR Executive for the last 2 years.

Regarding your question, Abhishek and another person have emailed you about the same, which is correct. However, one thing I would like to mention is to properly induct the employee to the Line Managers, all the functional heads, and schedule a timeframe so that the induction can be completed in the minimum number of days.

Regarding the meaning of Training and Development:

Training is any activity leading to skilled behavior. Training is always a current activity. Development, on the other hand, is preparing for the future. Development generally means the act of improving something in stages. The improvement may be accomplished by expanding, enlarging, or refining the already present skillsets/behaviors.

For example, if you are trained in pottery, you learn a specific skill to use clay and mold pots. With practice, you develop skills to create better, more advanced, and perhaps artistic pottery.

Hi,

All seniors have given good ideas and material for conducting an induction program. However, I feel that one can always add the 'fun factor' to the induction program to make the atmosphere light. New joiners are normally tense and closed when they step into a different atmosphere. Hence, we can start the program formally but can add some fun by conducting 2-3 fun-filled icebreaker games, which will allow the new joiners to be comfortable and get to know each other. Hope you all agree with it.

I agree with all the points you mentioned. However, if they are all new joiners and do not know each other, it would be beneficial to engage them by suggesting role plays or organizing group activities. This way, they will have the opportunity to interact with each other for the first time, sparking an interest in learning more about the company.

Along with this (Various Forms):

2. ESIC form
3. PF Nomination Form
4. OD Forms
5. Tour requisition Form
6. Holiday list
7. & other important Form samples to be shown

Work Environment checklist:

1. Computer
2. Drawer keys
3. Stationery items
4. Business cards
5. Telephone list
6. & other required things

After studying the above elements, choose the appropriate & prepared Induction Kit. It will include:

1. Stationery Checklist
2. Work environment checklist
3. Induction program checklist
4. Induction plan (Schedule)

Then prepare a detailed induction PPT...

While executing the induction program, ask your employees the following:
1. Name
2. Qualifications
3. Habits
4. Hobbies
5. Family background

Then, start the induction process (ensure your customer is stress-free and prepared to listen). Always conclude the induction with a story so that the new joiner will have a different impression of HR and the organization.
