How Can I Ensure Employees Wear Their ID Cards at Work? Seeking Practical Solutions

Dear All,

I am an Executive HR in a software company. In my office, a biometric system is used for attendance purposes. Some employees are not wearing their ID cards during office hours; they simply put them in their pockets. When they go outside, they show their ID cards to the exit/entry monitor and then put them back in their pockets. I have sent an email to all employees regarding this issue, but some are following the guidelines, while others are not.

Is there a special way to ensure that all employees wear their ID cards? Please share your suggestions.

The only way to make it possible is to threaten that the salary will be deducted if proper rules are not followed (including the ID card).

Along with the above-mentioned suggestions, start this practice from higher management. Once the seniors practice this, then automatically juniors follow suit. It's tough, but it works in respect to seniors and their own HODs.

I agree with Yaasmin and also suggest that you can introduce some plain cards with "VISITORS" sign on them for the visitors. Kindly request them to wear the cards until they are inside your premises. This practice will help in maintaining a culture of wearing cards for everyone.

Policy must be implemented from top to bottom. Please tell your top management to wear the card and instruct their direct reports to do the same. In my earlier organization, we faced a similar issue. We instructed our security personnel at the main gate to check all employees (especially those not wearing cards). The security personnel followed this policy, leading to embarrassment for employees when stopped and asked for their cards. To avoid this situation, they started wearing their cards. (You can understand how it feels when someone stops you for a check, especially in a group.) This approach yielded favorable results to a large extent.

You can also consider publishing the names of employees not wearing cards on the notice board. (It may seem harsh, but it is effective.)

Before issuing the ID card, have you given any instructions or initiated a meeting about the use of this ID card? Financial implications are not always necessary for discipline because employees are not always wrong.

Strengthen Your Policies

First, you have to strengthen your policies through writing or meetings. All new policies should be posted on the notice board. Discuss with the department head and educate new joiners about their effectiveness.
