How Do You Handle Comp Off for Sales Managers Without Timesheets? Need Advice!

Dear Friends,

Can someone help me with a policy for sales managers on official tour? One of my employees goes on official tours very frequently and claims to have worked on Sundays and holidays, asking for compensatory time off or overtime (OT). We do not have any timesheets for sales personnel.

Please help me, friends. I need your advice as soon as possible.

Dear Sari,

You can very easily put this problem in place. I'm sure that he is not the business head, so that automatically makes him answerable to some senior.

You can follow these steps:

1. Make an Inland and Overseas Travel Policy and get it approved by senior authority.
2. Create a travel requisition form with details like mode of travel, days, purpose, and ensure he gets it signed by his immediate senior.
3. Upon his return from the trip, ask him to submit a comprehensive visit report, including dates, clients met, results, etc.

This way, you will be able to determine whether he was genuinely working or not. Based on that, you can either deduct leave or provide compensatory time off.

Thank you so much, Fathima. I have a format that only mentions the date, purpose, and mode of travel for the whole official leave. However, I do not have information about work hours per day specifically. Can you suggest a template for this?

Enclosed is the Travel Intimation slip. Please ensure that your employee fills this out so that his travel will be noted. This will help in reducing unnecessary tours as the travel intimation slip will inform everyone. Additionally, you can frame a policy for grading employees and providing travel allowances based on each grade.
