Hi Friends,

I am a new member of CiteHR. I am working as an HR Executive in a software firm. The company started very recently, and I am the only person who has to take care of all HR activities.

I need to develop various policies and practices. Currently, I have to prepare a Joining report for my employees. Could anyone send me models of joining reports or provide guidance on what information should be included in a joining report?

All organizations create various types of joining reports. Because if an organization already has all the basic details in a different data form (Personal Data Form), then the joining reports remain straightforward.

The following are the details required in the joining report:

- Name
- Designation:
- Department:
- Date of Birth:
- Date of Joining:
- Division:
- Blood group

Family Details:

a) Spouse Name:
Date Of Birth:
Wedding Date:

b) Children
1st Child:
2nd Child:
3rd Child:
- Name
- Sex
- Date of Birth

c) Parents
- Father Name
- Mother Name

Current Address:

Telephone No.

Permanent Address:

Telephone No.

Person to contact in an Emergency:
- Name
- Relation
- Address

Hi Satya,

I have included a sample joining report useful for small organizations, but you may have to modify it depending on the needs of your company. As part of the joining process, you may also require the employee to fill out certain statutory forms for PF, ESI, Gratuity, etc., as may be applicable to your organization.
