Recently, it was found that some employees in our warehouses have been accessing pornographic websites. My boss has instructed me to create an internet usage policy. Could you please provide a template for a warning letter and outline any necessary disciplinary actions in this situation?

Please find below one sample internet usage policy.

Use of Internet

The Company allows limited personal use of the Internet, and the onus is placed on users and their respective Leads to ensure that this privilege is not abused.

Employees should be aware that computer usage can be traced by site logs and other tracked information. The Company reserves the right to access the contents of all files stored on its systems and all messages transmitted through its information technology infrastructure.

The use of the Internet is unacceptable when that use:

- Compromises the privacy of users and their personal data.
- Damages the integrity of a computer system, or the data or programs stored on a computer system.
- Is offensive, or perceived to be offensive.
- Results in personal financial gain for the user.
- Brings <Company Name> into disrepute.
- Disrupts the intended use of system or network resources.
- Facilitates unauthorized access attempts on other computer systems.
- Results in the uploading, downloading, modification, or removal of files on the network for which such action is not authorized.

The download of large files and installation of software downloaded from the web without permission from the Network team is prohibited. Compliance with copyright laws in this respect is essential.

Accessing pornographic sites is prohibited and is illegal as per Indian laws.

Accessing racist & gambling sites is prohibited.
