How Can We Encourage Employees to Wear ID Cards Positively and Effectively?

surendra.yarrabolu
Dear All,

We want to make it mandatory for all employees to wear their ID cards. Although everyone has been issued ID cards, there is a lack of adherence to wearing them.

We would like to communicate this requirement in a smoother and more understandable manner, emphasizing the positive aspect. Please advise me on the text for the email. Your guidance is appreciated.

Thank you, Senthil. Can you elaborate on the benefits such as:

1. It will enhance the image in the public eye.
2. It shows professionalism and identity.

Usually, ID cards are made mandatory for security reasons. They help security personnel recognize the office staff and prevent unknown individuals from entering restricted areas within the office. Additionally, ID cards play a vital role when an outdoor employee is involved in an accident outside the office. In such circumstances, it becomes easier for people to contact the company in case of an emergency.

Hi Surendra, here's some 'text' for the email that I could think of. Hope it helps:

Dear 'X-ites/ians' [where 'x' is your company name, write down how you normally address all the employees],

We all love ourselves, don't we? Creating a 'self-brand' is a way to depict the same. Yes, the organization wants you to be known as 'x-ites/ians,' but at the same time, we really like it when someone remembers our name, which is our identity. Let's give others a chance to initiate a conversation with us when they don't know our names; let others remember us by our names when we help them in their projects or just bring them smiles.

Hey, won't your ears love it when someone calls you like this:
- Hey Surendra, good to see you and thanks for the great tip you shared yesterday. It really helped me in my project [rather than someone telling you this - Errr... excuse me, sorry I forgot your name... but your tip helped me a lot] :)

Do I need to write more? I am sure all you great people have got the message by now. Yes, let's pick up our ID cards NOW and tell other 'X-ites' that you do have an identity of your own.

Happy 'Originality'!

Surendra,

Did you ever think that people are not wearing it because they're not really proud of where they're working at or they just don't care? You might have underlying employee engagement issues. Are they just ID cards and have nothing to do with access between doors and buildings? You can say you're going to be stepping up security, and this is why people are required to wear ID at all times.

"Enhance the image outside the public"? Whose image? The company's? What if the people don't really want to 'enhance' the image and just don't care? They won't wear it.

Trust me on this one; I have experience with managing teams.

You have to make people own their professional image and identity. If the office operates like a normal run-of-the-mill micromanaged and highly bureaucratic organization, with no employee empowerment, then obviously, people won't be proud enough to wear the badge of their burden.

Just my two cents.

Hi Surendra,

Instead of simply sending an email, you can elaborate on the advantages of wearing ID cards. Here are some benefits:

Identification: The ID card visually verifies authorized personnel entering the premises, allowing companies to monitor all employees and visitors.

Access: The ID badge provides authorization for building entry, network access, event participation, media borrowing, meal debit, purchase transactions, and reporting as required.

Record-keeping: Implementing ID cards as a standard process for new and updated employees helps maintain an accurate employee database.

Security: ID badges document authorized individuals on campus at specific times. They can be programmed to restrict access at certain times, providing employees with a sense of security.

Could you explain the various benefits an employee gets by wearing identity cards inside the office?

The total contribution is veering around only about the security and organization. But assuming they are riding a two-wheeler to reach home, in the event of any eventuality, it will assist the agencies or volunteers to take further action without any hitch in the first place. Some ID carries blood group information, which will save time to start treatment.

Dear Surendra,
Please check if the below mentioned text helps you to understand your employees that wearing id card is important,,..(Plesae note the last point is optional...)
Dear All,

It is been observed that many employees are not wearing their ID Cards inside the office premises. Please note that It is mandatory to wear company Identity Card at the workplace all the time. It is also mandatory to wear ID Card at clients' / customers' / vendors' or any other premises, while on visit on behalf of the company.

Apart from Security / access reasons ID card also creates a bond between organization and employee and also among employees. ID Cards also helps to create the sense of belongingness and teamspirit. Employees should feel proud to wear their ID Card.

Please note that, effective Monday, 7th feb 2011, employee shall not be permitted inside the office premises by the security personnel without valid ID cards.
Thanks
HR.

Hi YuYu,

What you are saying is absolutely correct. I am also in the same situation as Surendra. So it would be great to suggest Surendra and myself on how to change this situation and the mindset of the employees to help them understand the importance of ID cards and to wear them regularly while entering the office.

Looking forward to your reply and suggestions.

Mandatory ID Badge Policy Notice

Please put up a notice stating that wearing an ID is mandatory starting from a specific date. No one will be allowed inside the office without a badge and will be stopped at the entry point. Once this is implemented, your task will be complete.

You can also check with your employees where they prefer to keep their ID cards (neck, left shirt pocket, or belt line). Some employees prefer not to wear it around their neck.

Thanks,
