Employee ID Cards for CEOs and MDs: Are They Necessary and What Should They Include?

1. Is an employee ID card necessary for the CEO or MD?
2. Should the CEO's or MD's card also mention the employee code?
3. Is the signature of the authorized signatory a must?
4. If a signature is necessary, who will sign the same?

All employees should have ID cards; it is not necessary for the Managing Director, but everyone should have an employee code. An authorized signature is a must, and HR can designate the signature as an authorized one.

Employee ID Cards for MDs

MD is also an employee of an organization, though he may be the promoter. ID cards shall invariably be issued to all the employees to show uniformity.

All employees, from the Chairman to the last person in the company, need to have ID cards. This helps us represent the company in all walks of life. The Head of HR is the authorized person to sign these ID cards.

I believe every individual classified as an employee is required to wear an ID card while on company premises. However, in the current situation, CEOs and MDs are often traveling outside the factory or office. The Head of HR or Unit Head may sign the same ID card as the authorized person.

Ideally, everyone should have a card. It shows that all employees are treated equally. I don't understand why the card has to be signed by someone. Will anyone ever look at the signature to check if it is genuine or not?

Purpose of the Card

The card should have a purpose. Decide what purpose the card serves and what information needs to be placed on the card for it to be useful, and just put that. For instance, if nobody will ever refer to the employee code on the card, then why put one? Conversely, if the code needs to be verified by security each day, then it is essential on the card. You don't have to copy what other companies do. Decide what is right for your organization.

You need an ID card with an employee number, even for the MD, CEO, or CMD. We have a biometric and proximity card system at the entry; even the MD shows his card and has his biometric scanned. In an organization, everyone works towards the same goal, so everyone is equal.

An ID card should be duly signed by a signatory authority to address the security issues of any organization. Otherwise, anyone can obtain a duplicate card and falsely claim to be an employee of the organization. Hope you understand.

Regarding the matter below, the Head of HR is authorized to sign the ID card because the employee card is issued by the HR Department, and the Head of the Department is responsible or authorized to do the same.

From the Chairman to the last-grade staff, everyone must have an ID card. The card can be signed by the HR Head, who is authorized to issue the card. There must be an ID number, which is supposed to be the Employee Number in the organization. The ID card is considered as an ID proof including residential proof. Don't hesitate to issue the card; the good CEO, MD, or Chairman won't hesitate to wear the ID card with a tag. For your kind information, my Chairman Emeritus Dr. S. S. Badrinath, Founder of Sankara Nethralaya, a famous eye hospital, has the card and wears it all the time. Whenever he is in the office, he also punches in and out.

An ID card is mandatory for all employees regardless of their position or designation. However, in the case of the chairman, it is not required as he is the occupier of his unit.
