Hi,
Prepare enquiry letter for that. You can prepare it as normal letter or some format you can set for that. Mention what details you want.
Some companies use their own enquiry forms. If you dont hav that form prepare yourself. It is just like purchase order form. Find various companies address who provide service, talk with them, tell them what you want, and send enquiries. Also mention in that letter How they are going to provide you service. What is payment terms and taxes for that. How much time they will take to complete the work. Give them particular limit to reply th
Preparing letter for that is not very hard. Try it. You can do ......

For you to request for quotation from contractor why don’t you do the following
State your criteria
Prepare a proposal
Send your proposal request with criteria in it to contractors
Or raise an RFP (request for purchase)
Invite Tenders to bid
Select a contractor based on the criteria you have made do they meet it or not
Note: if your going into tendering you might consider to have tendering committee

It is necessary that you must know exactly what your need is and what you want to procure to meet that need. Do not fall for material/equipment, that you do not need in near future.
Get the estimates verbally, through the internet, yellow pages and personal inquiries in the market and through the purchase people in the other industries through your contacts.
Prepare a robust proposal to the management along with the estimates, you collected through your efforts.
After approval, ask for the technical bids from the manufacturers, stockists and dealer. Compare the technical details of the equipment, and shortlist the ones that suit your purpose.
Now ask for the quotation from the manufacturers, stockists and dealer of the competing companies to get a best deal. Always negotiate for a better price and after-sales-service. Avoid fly-by-night companies. Deal with financially sound and well established outfits.

Hi Santosh,
Please type 'request for proposals' OR 'tenders' OR 'government tenders' in Google
and search for tenders / RFPs online.
You will find several of these. Download the one which resembles your requirement the most and
customise it.
