Hi,

Search for dealers around your area. There are a lot of options for this. Use the Yellow Pages, search on Google, call Just Dial, and find the dealers' addresses. Call them, tell them your requirements, and ask for a quotation. Get quotes from 4 to 5 companies and create a comparative statement for the rates and services.

I trust you understand the process.

Thank you, Ms. Madhuri,

I understand what you wrote. Thank you for your kind reply. I am looking for how to write an official letter to contractors who didn't send a quotation on project works like construction or renovations.

Thanks,

Hi,

Please prepare an enquiry letter for that. You can format it as a normal letter or use a specific format that you find suitable. Include the details you require.

Some companies have their own enquiry forms. If you don't have access to such a form, create one yourself. It should be similar to a purchase order form. Gather addresses of various companies that offer the service you need. Reach out to them, specify your requirements, and send out the enquiries. In the letter, also outline how they will deliver the service, the payment terms, applicable taxes, and the estimated timeframe for completion. Set a deadline for their response.

Composing this letter is not overly difficult. Give it a try. You can do it...

Dear Ms. Madhuri,

Thank you very much. I appreciate your kindness. I now believe I can do this work as the confusions have been resolved. Sometimes, seemingly easy tasks can cause tension, especially for someone new to the particular issue.

Anyway, thank you for your support. Keep helping people.

Warm regards,

To request a quotation from a contractor, consider the following steps:

- State your criteria.
- Prepare a proposal.
- Send your proposal request with the criteria to contractors or raise an RFP (Request for Purchase).
- Invite tenders to bid.
- Select a contractor based on the criteria you have established – do they meet it or not.
- Note: If you are going into tendering, you might consider having a tendering committee.

It is necessary that you know exactly what your need is and what you want to procure to meet that need. Do not fall for materials/equipment that you do not need in the near future. Get estimates verbally, through the internet, yellow pages, personal inquiries in the market, and through contacts in other industries. Prepare a robust proposal for management along with the estimates you collected through your efforts. After approval, ask for technical bids from manufacturers, stockists, and dealers. Compare the technical details of the equipment and shortlist the ones that suit your purpose. Now ask for quotations from the manufacturers, stockists, and dealers of competing companies to get the best deal. Always negotiate for a better price and after-sales service. Avoid fly-by-night companies. Deal with financially sound and well-established outfits.

Hi Santosh, Please type 'request for proposals' OR 'tenders' OR 'government tenders' in Google and search for tenders / RFPs online. You will find several of these. Download the one which resembles your requirement the most and customise it.
