Who Should Handle Outdated PF and ESI Documents: HR or Accounts? Seeking Advice!

Hi friends,

My concern is that people have not updated any of the PF or ESI documents in the previous 4 years. Now, I am being asked to work on it alone as it is the job of HR. I am currently dealing with old and inaccurate files and challans. I want to know whether HR or the Accounts section is responsible for this.

Without a doubt, the total responsibility lies with the Accounts Department as well as the Audit Department. It is the responsibility of the concerned departments to do so.

HR is responsible for updating records in the data finance department, taking care of paying Challan.

Without a doubt, the responsibility also falls on the Accounts Department as well as the Audit Department. This is because it is the responsibility of the concerned departments to do so when HR is not taking care of those matters related to the organization.

I agree with Rachna, as the HR department handles the PF & ESI documentation. Where there is no HR department, the responsibility passes over to the Finance/Accounts section.

Hi Rachna,

It is the work of both HR and Finance. To prepare the documents regarding ESI and PF, the Finance department can provide details pertaining to payment, as they keep track of it in their ledgers. As far as HR is concerned, we will have our salary abstract. So, I think both need to work together.

If the site engineer hires an employee from outside for 2 to 3 days of work, can we add their name to ESIC for the insurance of those employees?
