Can We Issue a Salary Certificate Without Stating the Purpose? Seeking HR Insights

Hi, I work as an Executive HR in an advertising agency. I need to know if we can issue a salary certificate without a purpose mentioned in the request by an employee. This is a salary certificate and not a salary slip that we mail to our employees every month.

Salary Certificate vs. Salary Slip

Importance of Stating the Purpose in a Salary Certificate

It is always advisable to mention the purpose for which the salary certificate is being issued. Hence, whenever an employee asks for a salary certificate, ask them to specify the purpose. If no purpose is mentioned, at least include a statement that the certificate is being issued for personal use. In this way, the employee will not be able to misuse the certificate.

Salary Slip vs. Salary Certificate

A salary slip is an official statement of earnings received from the company. Hence, no other certificate is required to be issued, nor should such a request be entertained. It is inappropriate to demand a salary certificate for any reason, as the salary slip has already been issued. We do not entertain such requests from our employees.
