Hi Manisha,

I need the format of a No Dues Certificate which shows that the employee has received all PF, gratuity, TDS certificate, etc. Can anybody help me out?

Hi there,

There is no specific format per se. The full and final settlement sheet, once signed and accepted by the resigning employee, clearly indicates that he/she believes there are no pending dues towards the organization. It also provides information on the PF submitted.

The company cannot issue a PF no dues certificate because the PF is submitted to the RPFC, and any further clarification can only be obtained from there.

NO DUE CERTIFICATE

Manisha, the purpose of a No Due Certificate is to indicate the outstanding dues that an associate may have with the company. It serves as a prerequisite for the full and final settlement of the associate.

Here is a format displaying the following details:

No Due Certificate

Name of Associate:
Location/Branch:
Designation:
Department:

Departments
Signature of HODs

Department Head

Accounts:

HR

IT/Systems

Library

(Add any other relevant departments specific to your company, if applicable.)

The Department Head will provide clearance when the associate submits all files/documents under their control.

The Accounts Head will sign off if there are no outstanding loans/advances.

The HR Head will sign if there are no pending notice period/service/compensation issues.

The Admin Head will sign if all company property, such as cell phone/car, has been returned.

The IT department will sign once the employee returns their laptop/data card/pen drive.

You may issue the blank format to the associate and instruct them to visit the respective HODs for clearance.

Once the No Due clearance/deductions are confirmed, we can proceed with the full and final settlement process.
