Understanding and Implementing Skill Matrix in HR: Insights and Tools

We are starting an HR department in our company. I want to establish a skill matrix, so I would like to know how to develop the skill matrix. Please provide us with the necessary points for a skill matrix. Also, kindly attach a "skill matrix format" with the required fields filled in.

Please, can you elaborate a little more on what you mean by a skill matrix because we use different terms for the same activities? If I got your point, a skill matrix is a tool to identify the shop floor workers' training needs and skill requirements (can be used as a job description).

Skill matrix, as the name suggests, is a repository of skills that have been identified for the successful completion of a job.

Specific skills required to complete the job are broken down (with the details to be captured during job design).

The skill set of every employee is carefully assessed and logged into the skill matrix.

The skill matrix comes in handy to determine the shortfall of key skills.

The skill matrix forms a base for all appraisals, training programs, employee developments, deployments, etc.

The skill matrix should be updated on a regular basis.

The skill matrix should be shared with HR and project teams.

The key to deploying a successful skill matrix is about identifying and codifying the skills in an acceptable manner. One may refer to the standards laid down by SFIA in this regard.

Skill Matrix, as the name suggests, different jobs require different skills. So, in a particular job, a particular role will require specific skills to accomplish the task. It will be structured as follows:

Job Role Skills
1 i, ii a, c
2 i, ii, iii a, b, c
3 i a, b

In this way, we can prepare a matrix and categorize which job and role will require what kinds of skills.

You have not specified your industry. To frame skill matrices, HR has to look back and level out the rank and file of 'OD' in that particular industry. The second step is to study and generate your own thoughts by sharing and knowing the types of work with heads of the departments. Analyze the work modes, hardships involved, and workload. By doing so, you will definitely be in a better position to judge and design the matrix. Finally, you will become the best HR.

Apologies for late reply.

I have used the SFIA framework , in my current IT company, on trial basis. I would suggest , of all the sectors IT sector would gain from implementing a comprehensive Skill Matrix , as IT skills differentiate between successful and not so successful enterprises . An effective Skill Matrix would go a long way in effective e Human resource Planning.

SFIA provides a strong framework , to CODIFY the competencies in an organization., which is the first step towards building successful matrix.

However the skill matrix should be viewed entirely different from Skill Table . ( Ex) . Mr. Raghav, CITE HR member , has provided us with a good example of “skill Table” , and not a skill matrix .

Skill table , becomes a skill matrix when the former is modified , with additional inputs on;

1. Future skill requirement which has to be forecasted by the top management , in view of strategic business plans

2. In house skills, Skills to be acquired thru ( training, fresh recruitment ,

3. Skill requirement due to technical challenges,

4. Skill requirement due to technological changes,

5. Skill requirement out of renewed customer expectations etc.

With the above inputs , the skill table becomes a effective tool , with the top management for effective HRP.

I am actually not an HR person; I am a media-research-communication and soft skills professional. I find HR very interesting and read a lot of articles about it. Many times, by default, the personnel handling work in my team, organization, or company has come to me.

I found the matrix quite interesting. It can be used for mapping competencies, identifying redundancies, and addressing gaps. In a team, one can chart the areas of high performers and stagnation, turnover, and pitfalls. It will aid in training and development. I have also stored it, so I can use it in my team. Thanks for the interesting information!

As a suggestion and something I will try, one can map training needs along with employees' existing skills to determine levels of competency. This approach will help in framing training programs and support future recruitment efforts.

The matrix I find/see on the web (by searching on Google) is usually two-dimensional. Does anybody know of any good two or more/n-dimensional matrices or any open-source tool that captures this information?

Dear All,

An employee (management staff) worked on the paid holiday, and his weekly off was also on the same day. He is requesting two compensatory offs for the same day. In my opinion, since he is management staff, his weekly off falls on the paid holiday; hence, it is considered lapsed, and he can avail compensatory time off for the day he worked on the paid holiday.
