If an employee rejoins the company with a different PF number, what is the procedure? Should a new ESI number be allotted again?

What is the procedure for obtaining a temporary card and a permanent card? Please also provide me with the necessary forms.

Once an employee has an ESI number, the same number should be used at the time of the employee's rejoining. Due to the Smart Card system, there are no longer Temporary/Permanent cards.

In ESI, there is no need for re-registration if an employee rejoins the company with a different PF number. The procedure for the ESI number involves notifying the re-entry date by making an entry in the remarks column of the ESI return in Form-5. The employee can continue using the old card, and a present smart card may also be issued by the ESIC.

Thank you so much, but many employees in my company attended a camp for ESI biometric cards almost 4-5 months ago. However, they still haven't received their ESI cards. What should we do?

Sir, Kindly let us know the process in non-smart card cases:
1. When someone rejoins the same employer?
2. If they rejoin from another region and require urgent medical care for their family before the transfer of records?
3. In case of a long gap, say more than two years, in rejoining from another state?

One of our employees already has a permanent IP number from the ESIC of their previous employer. Now, they are appointed in our company, so I wanted to know whether they can use their previous permanent number. If yes, what is the procedure for obtaining the same permanent IP number?

Dear Members,

I want to educate you about some practical issues after computerization, thereby clarifying all your doubts.

Here, I am discussing various instances that HR people will come across after the introduction of smart cards in ESIC:

i. Your new employee might have the old ESI Card (i.e., not Pehchan/Smart Card) and has not yet attended the Pehchan Camp, and now, he joins your company. In such cases, you need to insert the IP details on your portal, enter his ESI No. particulars, and provide the required inputs to include him in your list of employees. Then, update his complete family and other particulars by opting for the link "Update IP Particulars" and advise him to attend the Smart Card or Pehchan Card camp immediately. (Note: Once you know that the employee has already attended a photo camp in his previous employment, do not generate a new number for such an employee as it may lead to duplication issues when printing the new card.)

ii. Your new employee might have the Smart Card and is now joining your company. Just use the link to insert the IP and provide the particulars of the date of entry into your company.

(Note: Once you find out that an employee is already enrolled under ESI, do not enroll him for a new number. If you have done so erroneously, ensure that he has not attended the Pehchan Camp, as once the Pehchan Card is issued, it is difficult, if not impossible, to delete such details.)

I hope I have cleared all the doubts. Due to computerization, the transfer of manual records, as discussed in my previous posts, will no longer have any significance.

My factory employee took his ESI Smart card photo last year, but he has not received the smart card yet. I have inquired with the ESI officials, and they have confirmed that the card has already been sent. What should I do in this situation? How should I proceed? Dear Chitra,

If an employee has already obtained a smart card, please do not encourage them to attend the Pehchan Camp again. In the event of card loss, there is no need to submit any forms to obtain new Pehchan Cards. Instead, you can pay Rs. 25.00 per card at the Branch Office and request them to initiate the reprint process for the card.

ESIC IP NO RE - CONTINUATION PROCESS
Dear concern,
If employee already having biometric pls don’t create his new ip no. biometric card is once for the lifetime use.
Many employers facing this issues just because employee didn’t provide their details (ESIC ip no)at the time of joining.
Don’t bother you can continue his old ip no with current organization by following steps
1. Login to your ESIC main code / sub code
2. Click on Insert IP Details link
3. Click on insert link
4. Enter ip no
5. Enter date of appointment
6. Now save the changes
7. Now close the window,
& make changes in your database.
8. Consider the ip now at the time of ESIC payment

By using the main unit, i.e., Gurgaon ESI Code No., you can generate a sub-code for the Rajasthan area and file the contributions separately under the sub-code for the employees deployed in Rajasthan. This way, you can enjoy two benefits:

1. The compliance for the employees will not be mixed up with those from your other regions. This will make your principal employers more comfortable during their unit inspections by the respective ESI inspectors.

2. The employees working in Rajasthan can receive cash benefits at the nearest branch office where your unit has obtained the sub-code in Rajasthan.

1. Sir, eligibility for any benefit under the ESI Act, 1948, and the rules/regulations framed thereunder is determined by the appropriate Branch Office of ESIC, which has issued the said Pehchan Card. The eligibility depends upon the contribution period during which the contribution is paid and the corresponding benefit period. Therefore, it would be better if you contact the concerned Branch Office of ESIC.

2. I think on the Pehchan Card issued by ESIC, it is nowhere mentioned up to which period the said card is valid.

1. Sir, you can use the same insurance number that was allotted earlier to the said employee and start compliance from the date the wage ceiling was enhanced to Rs. 21,000 by the appropriate government.

2. For more guidance, I believe you can contact the appropriate branch office of ESIC to which your unit is attached.
