New to Recruitment: How Can I Tell if This Salary Slip is Real or Fake?

Hello Everyone,

I am new to the Recruitment Department. Recently, we selected a candidate, and I need to verify his documents. I am not very sure about his salary slip. Can somebody please take notice of the attached file and let me know whether it seems real or fake? (I changed names for the sake of confidentiality).

Any response would be appreciated.

Hello,

Any salary slip should include the name of the organization, employee's date of joining, his/her attendance details, and the company seal. The salary slip attached herewith looks fake to me.

I agree with coolchini. Additionally, they are not detecting PT because there is no sign and seal. Request a hard copy with an authorized signatory or proof of payment through bank, cheque, etc. You can also call the provided contact information and ask for all original documents such as the Appointment Letter, Offer Letter, and the last three months' payslips.

Not all companies follow a standard format for issuing salary slips. Some companies do not issue salary slips to their employees at all, while others issue them upon request. The practice varies depending on the size and operations of the company. Typically, small companies with fewer employees (less than 100) are less likely to adhere to such procedures compared to larger companies that employ hundreds or thousands.

Validation of the salary slip can only be confirmed by verifying it with the candidate's previous employer. Some companies have executives residing in different cities and send salary slips via mail in Excel formats.

You can also verify the salary from a copy of the appointment letter provided by the candidate.

Dear Darak Sharma,

It seems to be fake, but in India, many organizations do not provide salary slips. Just verify whether his previous employer was in the practice of providing salary slips or not. If not, what can an employee do if you ask him to provide a salary slip? Though one should always speak the truth to the present employer instead of making a false slip. However, to be a genuine slip, it should have deductions like PF, ESI, and other deductions applicable State-wise. Even if we assume it has been provided by his previous employer, it is not genuine; it is 100% incorrect.

Aditi Technologies is a large company and it would not issue such a ridiculous salary slip. This is definitely fake. It should have the company's logo and signatures. Salary slips are never provided on an Excel sheet, not even by small companies. IT IS FAKE.

It seems fake because there is no deduction of PT, and also the logo/stamp of the company is not there.

I'm starting my career in HR, and I don't know how to frame a salary slip for the CTC of 1,30,000. Can anybody help me out with how to calculate basic salary, HRA, and all allowances from the CTC?

PF deduction can be mentioned in the salary slip. I agree with Debashis Sharma, and that is the only correct way. It depends on the workforce of the company.

Hi friends,

It is better to ask him to submit Form 16 of last year along with the IT returns. It is an authentic document, and we used to do the same. In any large organization, salaries are typically deposited directly into the bank accounts; therefore, you can also request the bank statement for the last 6 months.

Hello Darak,

According to me, this salary slip looks fake since no company issues this kind of salary slip where there are no deductions and only allowances. Just ask that person to present some more proofs like an offer letter, and moreover, you can talk to his prior company where he was working.

We can judge whether it is genuine or fake if the exact payslip submitted by the candidate is available. You have converted that into an Excel format and made some modifications.

I think the payslip should be in PDF format.

Please don't go by your initial judgments or perceptions; you need to have concrete proof to verify if the employment details are fake or authentic. It would be better if you asked Aditi Technologies the same question rather than seeking answers from people in this forum.

You can follow the following steps:

1. Take the employee's code at Aditi Technologies, and then you can call or email Aditi Technologies asking them to confirm if the individual has ever worked there and the duration of their employment with Aditi Technologies.

2. Ask the employee to submit their bank statements for the last three months to verify if the same amount was credited.

Please don't jeopardize someone's career due to your inability to verify past employment details.

Thank you, everyone, for replying. I contacted his previous company, and he has really worked there. However, the organization declined to give me the salary details and mode of payment due to their privacy policy. I asked the candidate about the bank statement, but he says he has been paid a cash salary. I doubt whether any organization will pay a salary as big as $15,000 in cash. Also, he says there is no Form-16 since he is not within the tax deduction range and does not receive PF benefits.

Please guide me on what to do now. The decision relies on me whether to reject the candidate. I also talked to my technical department, and they say the candidate is good in technical skills as well as communication.

It is already too much on one issue. You have already verified his past employment records and he seems to be good. It is better to retain this employee, and you can take an undertaking from him in writing according to your requirement.

Hi daraksharma,

Yes, I agree with all of the above quotes. Also, HRA calculation at 40% of Basic does not match with the HRA shown in the Salary. The actual HRA should be Basic * 40%, i.e., Rs. 2600, but it is showing as Rs. 3500.

1. What does your organizational policy say in such cases? If you don't have any policy to deal with such situations, then please request your seniors to create one.

2. No organization will disclose compensation details.

3. No organization will pay cash salary; they would opt to pay via check or demand draft. They need to document proof of salary provided for various statutory purposes.

4. If the salary is equal to or less than Rs. 15,000, the individual is eligible for ESI benefits (after May 1, 2010; previously it was Rs. 10,000), and a deduction of the same must be included in the payslip.

5. There is no direct way to verify salary details; even third-party agencies would not be able to confirm salary information. You need to determine yourself whether the details provided are accurate or not.

6. Salary structures are created with guidelines in mind; however, they vary from organization to organization. For example, one organization I know pays 30% of the monthly gross as basic, whereas another pays 40% of the monthly gross.

There is no sense in wasting time checking whether the salary slip is genuine or not. Don't worry about what he is earning. Instead, check his certificates and assess his ability and suitability for the job through an interview. Giving him a percentage hike from his current salary may not be fair. By doing so, an excellent performer could be underpaid.

Even if he is faking his documents, there has to be a reason for the same. Why is he faking only the payslip and not the educational/experience details.

Yes, he might be underpaid or there could be any other reasons; however, if my organization is willing to pay as per his expectations and he seems to be a deserving candidate, I will definitely not deny him the job.

Well, the final decision here would only be yours!!!

Well, once again, thanks to you all for replying and taking the time to address my concern.

Here in our region, companies even offer cash payments to their highly qualified employees, so I can't simply reject a candidate based on the mode of payment. Additionally, I have no choice but to trust the candidate regarding their salary details.

However, I am considering adding a clause to the job offer stating that the candidate will be under observation during a six-month probation period, and if any falsified information is discovered, the candidate will be terminated without notice.
