hi,
There are 2 ways in which you can do this.
1) Circulate a soft copy of the circular through Mail / Hard copy Circular regarding this.
2) Prepare a agreement on this and take a sign of all employees for your record purpose.
Hope this will help you out and i think u have to follow both.
Dear Sr. kindly suggest if my suggestion are right or alternative for this are there.
Akanksha Mehta do let me know i will give you a draft of the mail/circular format .

Hi
Issue a circular to all staff amending the probationary clause and get it signed by them. Or alternatively issue a
separate amendment to individul employees, who are confirmed and existing and get it signed and file in their respective personnel file.
You can incorporate the amended probationary clause in appointment letters for the employees who join later

I agree with Mr.Sai Prasad. Send one soft copy for all the copies for information & route hard copies through concernd HODs to obtain signature of indivisual employees. Signed hard copies to be put in respective Personnel files for future reference. This has been practice in my company. A covering note circular may start like this..." As per company's revised policy the existing notice period applicable to our employess stand revised from 1 month to 2month. this will be effective from...
