First, try to find out what the prevailing policies are in your company. Then, make amendments if required. Seek approval from your HR manager/superior. Normally, policies are related to leaves, insurance, rules and regulations, housing loan interest, car loan interest, mobile bills, handset discounts/reimbursements, car petrol-diesel reimbursement, etc. I hope this gives you a better idea of how to proceed.
