One of the new joiners in our company is assisting the Managing Director (MD) and also taking care of administration activities. Could you please suggest what would be the appropriate designation for this role and the corresponding grade level?

The designation of the new employee could be EA (Executive Assistant) to MD. The grade, however, would depend on the exact nature of his/her job and the level of responsibility he/she is handling. This could vary from an Associate Manager to a GM level. I hope this clarifies your question.

The title could be either Personal Assistant to MD, Admin Officer, or Sr. Admin Officer, based on the responsibilities given to him/her and the reporting structure of this particular position. Also, it is not uncommon to assign additional tasks to any employee of any post. So, an HR may also be asked to look after hotel or travel arrangements for senior staff, or a PA can be asked to take on an admin role. Such roles usually overlap. You can go ahead with PA, EA, ES, or PS.

Grade can be decided considering the role and responsibility, as well as the years of experience the person has (not the priority), and the salary bracket decided for the post. All these can be clarified if you directly speak to your MD. He must have all these in mind.

Hi,

The designation should be Executive Assistant or Executive Secretary to the Managing Director. If your organization has a grading system, she can fall under the E1 grade, typically assigned for executive positions.

Primarily, the designation and package will be conferred on the new joiner based on their previous employment. In the case of fresh recruitment, the designation is created and determined by the management. If no such position exists, as they are a fresher, put them on a probationary or trainee period as per company rules, and then confer upon them the designation of "Personal Secretary" to the Managing Director.
