I am associated with a management institute. My boss has given me the responsibility to conduct an HR Summit for the benefit of students and the institute. However, I don't have any idea about what an HR Summit is and how to conduct one.

Please guide me on the process I should follow to organize this event and also suggest appropriate topics for the same.

Now, I got an idea of exactly what you are looking for. To achieve this, try reaching out to some good HR managers from the industry so that they can participate. For this specific purpose, you can utilize two basic approaches.

Firstly, directly call all major HR managers and top management personnel.

Secondly, consider organizing an event like an alumni gathering or something similar that will provide you with a reason to connect with many people in one place.

Without knowing the size of your institution and the budget you have to organize a summit, it's not easy to give precise advice. However, a general piece of advice is to please check the web to see how others have done it. For example, I just searched and found 1.8 million hits on Google.

If you have good facilities in your institution, you can hold it there, and it will be less expensive. You may have to cover expenses if you invite people from a distance. I am not an HR expert, but I conduct seminars on Research Methodology and How to Publish Papers when I visit India for my holidays. Start by asking yourself what topics will meet the HR needs of your institute. Jot them down. Then reach out to HR managers and consultants who will be willing to speak on such topics. To reduce costs, look out for HR managers whose companies want to promote their names. They most likely will be willing to do it for free. Remember to ask them to send in their papers well ahead of time so you can arrange an agenda.

Then determine the size of your audience. Have a place that will accommodate the number of people expected to attend. Since you want to promote your institute, you may want to invite individuals who are not members of your institute to come and see things for themselves.

Pay attention to timing. When will it take place in terms of the time of year - what month? what day? what time of day? Your timing should take into consideration the ease at which people will be willing and able to attend.

The challenging part is putting together a database of attendees. This is important so you can prepare for and manage aspects such as refreshments, manuals, etc.

HR Summit is an excellent interaction group for corporates and students. It serves the following purposes:

1. Corporates can suggest some of their current HR challenges, and fresher MBA students can research the same.
2. It can be a good opportunity for your college to brand itself, which will help during placements.

I suggest you initiate the following from your team:

1. Create a core group; there will be many coordination activities when organizing this event. You would need about 5-7 students in place.

2. Invite some of your professors to brainstorm the summit's agenda.

3. Work out the logistics in terms of the venue, sponsorship, invitations, etc.

Though other members have given you sufficient guidelines, please notice the following points:

- Select your ex-students who are nearby working and try to get some senior professionals from diversified fields such as IR, Recruitment, Performance Management, Training, etc.
- Get a very high-profile HR professional (VP HR) to chair the summit.
- Fix the agenda either as a single focus or diversified, such as Different Aspects of HR in the Contemporary Professional World or HR as a Strategic Business Partner, etc.
- Calculate the approximate expenses for organizing the event and seek approval from your seniors.
- Ensure to add your institute's profile and advertisement in local media to showcase your involvement.
- Release a concluding paper from students detailing what they learned and provide some keepsakes to participants.
- Collect data such as names, profiles, email IDs, etc., for future references, and send photographs along with a thanking email to participants.

It's an excellent opportunity in your hands to enhance and prove your management skills.

First, talk to your fellow students and form a small task force led by you. Have people talented in different areas such as presenting well, hosting the show, and drafting. Decide the budget for the HR - submit with the help of your faculties.

Discuss topics in HR for the submit and finalize one topic. Choose a venue according to the budget and approach a few corporates for sponsors to meet your budget.

Create an invitation for the HR submit. Introduce your college, faculties, organizing committee, and sponsors list. Include the objective of your chosen topic and emphasize its importance in the current scenario.

Invite your seniors, HR managers from corporates, HR organizations, top-notch HR professionals, and don't forget to invite your alumni. Decide the role of your task force once these are done.

Students from your institution who are good at presentation, let them deliver theirs, then invite the HR leaders who have shown interest to speak on the topic.

Organize lunch or high tea as per your budget. Present a memento to all the corporate HR for spending their time with you. Extend this gesture to the sponsors and organizing committee as well.

I hope I have covered at least 50-60% of the steps to organize an HR submit. Such an HR submit will be a stepping stone for many students to enter the corporate world. Please consider further suggestions on this.
