Currently, this is the policy that I have for my company.

17. MOBILE PHONES

1.0) General

All senior management (MDs), sales, and key personnel in Production and Logistics are provided with company mobile phones. Entitlement to a mobile phone is dependent on job requirement and position held in the company and is at the discretion of management. The purpose of providing this phone facility is to have access to these employees at all times; thus, it is pertinent that the mobile phones be switched on almost all the time.

For those employees who are not entitled to company mobile phones but require the usage of mobile phones to fulfill their job obligations, they will be given a fixed monthly phone allowance, the quantum is fixed by the MDs.

2.0) Phone Calls

Company mobile phones are intended for official use only and not for private purposes. Costs of private calls are borne by the employees concerned.

Each month, the finance department personnel disseminate copies of the itemized mobile phone bills to the employee concerned to segregate between the personal calls made and reimburse the Company accordingly.

The responsibility is on the employee to identify all the private calls made. However, the company is flexible in this matter, and only private calls that are considerable in amount need to be reimbursed. Those that are only a few cents and short in duration will not be charged. Finance Department personnel will also review those phone bills monthly and raise questions with regard to this matter.

3.0) Damage, Loss, and Replacement of Mobile Phones

Employees should exercise due care and diligence in handling their company mobile phones at all times.

If any company mobile phones are reported damaged or lost, a Mobile phone Damage/Loss Report is submitted by the employee concerned to the HR department so that the phone service provider (i.e., cellular companies) is notified immediately to bar usage of the phone number and account. The decision to replace damaged or lost company mobile phones is at the discretion of the Managing Directors based on the merits of each individual case.

4.0) Other Matters

The mobile phone number will be in the company phone number listing by the office receptionist who distributes this listing to all company employees after each update.
