Should a company have a policy for paying personal bills of the staff such as telephone, electricity, etc., or not? If yes, what should the policy contain? Please clarify.

There should be a policy to pay the bills (if the company decides on) in terms of reimbursement or any other mode. It should be defined cadre-wise or as per the salary breakups and entirely depends on your company's payroll policy for employees.

This question about a policy for paying personal bills was asked in an interview because nowadays young professionals who live alone work for more than 10 hours and don't have time to pay their electricity, telephone, and insurance bills. To assist them in paying these bills, what should we do?

Related to the topic question "Paying Bills," there should be a help desk for the employees' convenience to facilitate. Probably at the reception level of the executives in HR or Admin, they can spend at least 1 hour per day to help with these kinds of activities, through outsourced people in the organization. Nowadays, it is very common, like getting a film ticket, birthday bouquet, or organizing a small group party.

Just wanted to share a few thoughts and ideas on this.

What we have to help employees is - we have placed a collection box at the reception, wherein all employees can drop in their bills with cheques. It is cleared once a day, and the office boy, who runs daily outside errands, further goes and gets these deposited. Companies like Hutch also place their own collection boxes in large offices. You can try this out as well.

If you are asking about Hutch, etc., I do not have exact details, but I think it is a corporate tie-up. You will need to talk to them directly. As for the organization itself, we are providing it as a free service to our employees because our office boy goes out 3-4 times every day, so it is not an extra expense for the organization. Hope that resolves your query to some extent.

During the IT boom, a few companies introduced a policy for arranging the payment of personal bills. The objective was to save employees' time and, eventually, that of the company. Since most employees use office time for this purpose during the working day, its significance has reduced in today's situation, as payments can now be made online. Nonetheless, it is still worthwhile to consider this assistance to earn employees' goodwill.

In general, the policy should be framed keeping in mind the sales, service, and purchase employees. Simultaneously, the employees working in the grade of manager and above in other departments should also be considered. Some ceiling should be fixed for mobile as well as for landline.
